Position Summary

The Project Administrator plays a crucial role in supporting the Project Management team by handling various administrative and clerical tasks while maintaining confidentiality. Responsibilities include scheduling, timekeeping, reporting, travel coordination, and document management. The Project Administrator will also serve as a point of contact for client inquiries, providing assistance and information as per established procedures. Experience in a construction site office setting and proficiency in computer applications are essential.
Key Responsibilities:

  • Prepare and submit periodic project reports as required.
  • Maintain organized and accurate project files, ensuring document integrity.
  • Support Project Management with document management, including bills of lading, vendor invoices, and timesheets.
  • Coordinate travel arrangements for project personnel.
  • Collaborate with head office departments such as Accounts Payable and Accounts Receivable.
  • Assist Project Management with purchasing activities.
  • Act as a liaison with project stakeholders, including Owners, Engineers, and other key personnel.
  • Design and maintain project tracking and scheduling documentation.
  • Crosstrain on additional administrative tasks to provide backup support.
  • Perform general clerical duties as needed.
Qualifications
  • Minimum of 2 years of progressive experience in an administrative role within a construction project environment.
  • Proficiency in MS Word, Excel, and project management software.
  • Strong written and verbal communication skills, with excellent organizational abilities.
  • Self-motivated and capable of working with minimal supervision; ability to motivate and oversee junior administrative staff.
  • Exceptional time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
