Pyramid Healthcare is seeking a compassionate, organized, and detail-oriented Program Assistant to support our Assertive Community Treatment Team (ACTT) in Charlotte, NC. This full-time position plays a vital role in supporting a multidisciplinary team that provides community-based mental health services to individuals living with serious and persistent mental illness.

About the Role

As the Program Assistant, you will coordinate the daily administrative operations of the ACTT program. This position is essential to maintaining accurate documentation, ensuring regulatory compliance, supporting communication across the team, and helping deliver high-quality, person-centered care.

Key ResponsibilitiesAdministrative & Program Coordination
  • Manage and maintain accurate client records and program documentation.

  • Scan, upload, and archive clinical, intake, and discharge documentation.

  • Track and monitor service authorizations, person-centered plan updates, NC-TOPPS submissions, chart audits, and monthly reporting requirements.

  • Maintain internal tracking systems and notify leadership of overdue items or compliance concerns.

  • Contact clients regarding appointments, scheduling changes, and follow-up needs.

  • Prepare intake packets, update program forms, and maintain office and program supplies.

  • Provide phone and administrative coverage during staff absences, breaks, and vacations.

  • Support ACTT team operations through effective communication and coordination.

QualificationsEducation
  • High School Diploma or GED required.

  • Associate degree or administrative certification preferred.

Experience
  • Minimum of one year of experience in a behavioral health, mental health, healthcare, or human services setting preferred.

  • Experience working with Electronic Medical Records (EMR) systems strongly preferred.
