Probate & Estate Planning Legal Assistant


Job Location: Boerne, TX (In-person)

This is an excellent opportunity to work for Davis & Santos, PLLC, a law firm of attorneys dedicated to client satisfaction, performance and results. You will be part of a dynamic team dedicated to providing a full range of legal administrative support to at least one partner and one associate in a timely and efficient manner in the firm’s new office in Boerne, Texas. This position will work with other talented individuals who share a passion for performing superior work in the best interest of our clients.


Job Duties & Responsibilities

  • Assist attorneys in the preparation and filing of probate documents, including applications, affidavits, proof of death, oaths, orders, notices to beneficiaries and creditors, inventories, and accountings for independent and dependent administrations, and guardianships
  • Assist attorneys in the preparation of Powers of Attorney, Medical Powers of Attorney, Advanced Directives, HIPAA Authorization, Appointment of Agent to Control Disposition of Remains, Appointment of Guardian in the Event of Future Need, among other lifetime documents
  • Draft and review legal documents related to probate, estate planning, and trust administration
  • Effectively communicate with clients, beneficiaries, and court personnel regarding probate and estate planning matters
  • Maintain and organize client files, ensuring all documents are filed appropriately and deadlines are met
  • Schedule and coordinate appointments, hearings, and meetings with court personnel, clients, witnesses and other professional advisors
  •  Conduct research on local rules and checklists pertinent to any courts in which cases are pending
  • Prepare correspondence, memos, and other legal documents
  • Manage case calendars and ensure timely follow-up on pending matters
  • Assist in the preparation of documents for court hearings and client meetings
  • Handle confidential and sensitive information with discretion
  • Assist attorney with entering time in QuickBooks on a daily basis
  • Track and calendar all deadlines
  • Prepare and submit any expense and reimbursement reports
  • Type, proofread, format and edit correspondence, pleadings, memoranda, agreements and other legal documents under time-sensitive deadlines
  • Maintain and save electronic communications and case files
  • Prepare, organize, and maintain binders for hearings, working papers, and business development purposes


Qualifications

  • Associate’s degree or higher in Paralegal Studies, Legal Studies, or a related field. A paralegal certificate is a plus
  • Minimum of 2-3 years of experience as a legal assistant, with a focus on probate and estate planning law
  • Strong understanding of probate processes, estate planning, and trust administration
  • Strong communication skills, both verbal and written, with a high level of professionalism
  • Ability to communicate by telephone in a professional, courteous manner with clients, firm members, court personnel, and other business contacts
  • Strong skills in word processing and computer use: ability to type 85 wpm with high accuracy; proficiency in MS Office Products (Word, Outlook, Excel) and Adobe Acrobat
  • Current experience filing documents with State Courts, including electronic filing. Ability to read and understand local court rules, including rules and checklists for courts you have not worked with before, and to ensure compliance with assigned judge’s individual rules and practices
  • Current experience with filing documents in and obtaining documents from the real property records of all Texas counties
  • High attention to detail and sensitivity to confidential and sensitive materials required
  • Very fast-paced desk and attorneys; ability to prioritize and multitask
  • Strong organizational skills with the ability to manage multiple tasks and deadline
  • Attention to detail and accuracy in document preparation and review is a must
  • Ability to work independently and as part of a team
