Job Summary

The People & Culture Assistant provides administrative, clerical, and operational support to the HR Department. This position is responsible for maintaining employee records, supporting HRIS data management, coordinating scheduling activities, assisting with onboarding administration, supporting training logistics, and ensuring efficient day-to-day departmental operations.  The HR Assistant serves as a key support resource for employees and the HR team by delivering responsive customer service, maintaining accurate records, and assisting with workforce administration activities in a confidential and professional manner. This position supports the organization's mission, values, and commitment to service excellence. 


Essential Functions

The following duties are considered essential functions. Reasonable accommodations may be made in accordance with the ADA to enable individuals with disabilities to perform these functions.

Administrative Support 

  • Provide administrative and clerical support to the HR Department. 
  • Answer and route incoming department calls and inquiries. 
  • Respond to routine requests in a timely and professional manner. 
  • Assist with preparation of correspondence, forms, reports, and presentations. 
  • Support departmental projects and initiatives as assigned. 

Records Management & Filing 

  • Maintain employee personnel files and departmental records. 
  • File and organize electronic and hard-copy documentation. 
  • Assist with document retention and records management procedures. 
  • Ensure employee records are accurate, complete, and properly maintained. 
  • Support preparation of documents for audits and compliance reviews. 

HRIS & Data Entry 

  • Perform data entry into the Human Resources Information System (HRIS). 
  • Assist with employee demographic updates and employment changes. 
  • Maintain data accuracy within HR systems and tracking logs. 
  • Run standard reports and provide administrative reporting support. 
  • Assist with maintaining workforce databases and spreadsheets. 

Employment & Workforce Administration 

  • Process employment verification requests. 
  • Assist with onboarding paperwork preparation and filing. 
  • Prepare orientation packets and employee documents. 
  • Support recruitment administrative activities as assigned. 
  • Assist with tracking required employee documentation. 

Scheduling & Training Support 

  • Assist with training logistics, sign-in sheets, materials, and room setup. 
  • Maintain training records and attendance documentation. 

Department Operations 

  • Order and maintain departmental supplies. 
  • Monitor inventory of office and onboarding materials. 
  • Assist with preparation for employee engagement activities and events. 
  • Support workforce communications and distribution of materials. 
  • Perform other duties as assigned. 

Schedule

  • Monday-Friday 8:00 a.m. - 5:00 p.m. with potential extended hours as needed.
  • This is an onsite position.

Education & Experience

  • High School Diploma or GED required; Associate or Bachelor’s degree in Human Resources or a related field; minimum of one year’s experience in Human Resources, preferably in a healthcare setting, or any equivalent combination of education, training, and experience which provides the required knowledge and abilities
  • Human Resources, healthcare, community health center, or nonprofit experience preferred.
  • Equivalent combinations of education, training, and experience may be considered.
