Job description

Essential Duties and Responsibilities include the following, other duties may be assigned

  • You will be the front desk face of the company
  • Answer phones; copy, scan, fax and file documents; greet and direct visitors; maintain professional appearance and cleanliness of the office
  • Provide office support for Regional Manager, Sales and Operations
  • Assist Operations Manager with scheduling technicians
  • Call clients to coordinate start times
  • Order and pick up parts from distributors when necessary
  • Prepare and submit RMAs
  • Receive parts in accounting software and close out POs
  • Set up jobs in warehouse, this involves staging and may involve heavy lifting

Accounting:

  • Assist in maintaining accounting functions including accounts receivable, accounts payable, and assist with job costing
  • Open work orders and assemble billing statements to submit to accounting when work order is complete
  • Maintain accounting records and compile reports from the database/server
  • Invoice customers

Education and Experience: Minimum requirements:

  • Candidate must have 2+ years of construction office experience

Required Skills:

  • Proficiency with using Microsoft Office, Adobe PDF
  • Ability to manage multiple programs simultaneously
  • Strong written and oral presentation skills
  • Excellent organization skills
  • Proven ability to work both collaboratively and autonomously

Desired Skills:

  • Proficiency with using SAGE 100 Contractor data program & D-Tools
