Job Title: Household Operations Manager & Family Assistant

Location: Harding Township, NJ 07935

Employment Type: Full-time (40 hours/week, overtime eligible)

Proposed Start Date: ASAP

Compensation: $70,000 per year (W-2 employee)

Requirements
  • Maintain a smoke-free environment.
  • Reliable transportation required; mileage reimbursement will be provided at the standard IRS rate for errands conducted using your personal vehicle.
  • CPR certification preferred.
  • Comfortable using technology and familiar with communication and task management apps, such as WhatsApp.
  • Ability to travel domestically and internationally, approximately 4 times per year for 1-2 weeks each trip (flight, lodging, meal expenses covered).
  • Must have a valid passport and clean driving record.
  • Willing to sign Non-Disclosure Agreement (NDA) and maintain the highest level of discretion and confidentiality at all times.

Who You Are / What We're Looking For

You are a self-sufficient, energetic, and detail-oriented person who thrives in a dynamic environment. You are someone who takes the initiative and requires little direction, as you manage tasks independently. You operate with a one-step ahead mentality, anticipating needs of the family and household who can step in and function as the household Chief Operating Officer.

With excellent communication skills, you provide regular updates and ensure that the household functions smoothly. You are tech-savvy and comfortable using mobile apps (i.e. WhatsApp) for scheduling, communication, and task management.

You are comfortable overseeing all aspects of household management, childcare, and vendor coordination while keeping everything in order. We seek someone with experience in house management and childcare, who is responsible, proactive, and able to handle a variety of tasks.


Key Responsibilities

Household Organization & Maintenance

  • Maintain robust organization systems for household (closets, pantry, storage, etc.)
  • Reset and tidy rooms daily; ensure the home is prepped for daily cleaning services and manage the scheduling of ongoing specialty seasonal cleanings
  • Coordinate with vendors (cleaners, landscapers, contractors) to schedule interior and exterior maintenance
  • Prepare for and plan family events, holidays, and guest stays
  • Handle seasonal clothing swaps and wardrobe rotations
  • Supervise the housekeeper and coordinate dry cleaning pickup/drop-off

Inventory Management & Errands

  • Manage all household inventory (groceries, toiletries, supplements, cleaning supplies)
  • Oversee weekly grocery shopping and coordinate with the chef
  • Ensure pantry and fridge organization, remove expired food
  • Handle package sorting, mail management, and returns
  • Run household errands such as dry cleaning and gift shopping

Meal Planning Support

  • Coordinate with the chef for weekly meal prep and grocery needs
  • Shop for groceries at various local markets and ensure all food meets family's nutritional standards. Experience using the Olive app a plus
  • Prepare school lunches and assist with light meal prep as needed
  • Maintain kitchen organization, including inventory management and cleanliness

Laundry & Linen Care

  • Oversee laundry coordination and ensure clothes are put away properly
  • Maintain organization in laundry areas and develop organization systems for the house cleaner
  • Manage seasonal linens and coordinate dry cleaning of large items (e.g., comforters)

Family Support & Child Assistance

  • Assist with school pick-up (2:45 PM), assist with homework, reading, and bath time
  • Prepare school lunches and organize school-related items
  • Assist with personal scheduling and event coordination for the family
  • Support family gatherings and coordinate catering
  • Provide travel assistance (packing, organizing, and post-trip support)

Vendor & Property Oversight

  • Manage and oversee routine property maintenance (HVAC, pool, plumbing, landscaping)
  • Schedule and supervise all service providers and contractors
  • Ensure all repairs are completed to satisfaction and that vendors are paid and insured

Deep Cleaning & Special Projects:

  • Oversee and coordinate specialty cleaning for high-traffic areas (tile, grout, appliances, light fixtures)
  • Schedule and supervise seasonal deep cleaning, including window washing, power washing, and outdoor furniture care
  • Manage periodic cleaning of carpets, upholstery, and hard-to-reach areas (baseboards, behind appliances)
  • Ensure regular cleaning and maintenance of home systems like humidifiers, air purifiers, and chimneys
  • Organize and refresh seasonal dcor, including rotating and properly storing items
  • Oversee deep cleaning of specialized areas such as garages, attics, and basements
  • Coordinate seasonal maintenance tasks, including gutter cleaning, debris removal, and weatherizing outdoor furniture

Vehicle Management

  • Manage vehicle maintenance including ongoing cleanings/detailings. Ensure vehicles are fueled and organized.
  • Track registration, insurance, and service schedules

Administrative & Personal Assistant Support

  • Assist with travel preparation, including packing, scheduling, and organizing travel logistics
  • Travel with family approximately 4x annually for 1-2 weeks, overseeing childcare
  • Ensure the home is prepped and cared for while the family travels during extended summer trips
