Job description

Part-Time Administrative Assistant NATURE OF WORK The Library Part-Time Administrative Assistant performs a variety of duties in service of the South Windsor Public Library including, but not limited to payroll, cash management, accounts payable/receivable, and routine report preparation. This individual carries out clerical and receptionist duties for the Library Director and Library Board of Directors, orders supplies, assembles a monthly newsletter, and periodically staff public service desks. EXAMPLES OF ESSENTIAL JOB FUNCTIONS Receives oral or written instructions from supervisor.

Organizes work according to established procedures. Works with the Town staff to submit departmental payroll information. Coordinates with the Town Finance department to request purchase orders and submit invoices and contracts for payment.

Maintains cash records and appropriate reports. Receives, counts, deposits, and pays out funds in the Library's Special Account and prepares records for audit, as necessary. Maintains office supply inventory.

Prepares regular budget reports for Town staff and the Library Board of Trustees and posts them to Town and Library websites. Coordinates with other Town departments and agencies. Assists with the coordination of maintenance of Library equipment and physical plant; serves as contact with maintenance providers as needed.

Arranges for use of Library meeting rooms. Acts as receptionist and clerical assistant for the Library Director. May act as clerical assistant to the Library Board Uses publishing software to prepare promotional materials.

Assists in preparation of grant applications and other documents as needed. Assembles Library statistics reports. Prepares and distributes correspondence, including posting of outgoing mail.

OTHER JOB FUNCTIONS Relieves other employees as directed by supervisor, including responsibility for a unit in the temporary absence of a professional librarian. Receives and responds to general information requests by telephone or in writing. Checks in orders received and distributes items to relevant departments as necessary.

Prepares posters, bulletins, and newsletters to promote use of the library and its services. Actively pursues professional growth opportunities, including keeping current of new library trends through readings and workshops. Performs circulation desk duties as required.

Performs related work and assists with special projects as required. Assists in the preparation and administration of programming. .
