Job description

AIR's Healthcare Transformations department is seeking a detail-oriented Project Assistant to serve in a coordinating role across a broad portfolio of health related projects, with a primary focus on quality measurement. In this role, the Project Assistant will support the development and implementation of materials to support CMS quality programs. 

We have a strong focus on quality measurement to ensure patients receive safe, equitable care. We also translate research evidence to promote understanding and adoption of best practices by patients, families, caregivers, physicians, nurses, insurers, health systems leaders, and policymakers. In addition, our expertise includes promoting evidence-based care for a range of clinical conditions; improving patient safety; and engaging patients and family members in the delivery of care.

This position has the flexibility to work remotely within the United States (U.S.) or from one of AIR's U.S. office locations. This does not include U.S. territories.

Responsibilities: 
  • Assist in coordinating and managing client service projects, including scheduling meetings, preparing materials, and tracking timelines. 
  • Coordinate schedules and deliverables for internal and external client meetings and tasks. 
  • Communicate with clients to provide updates, gather information, and respond to inquiries in a professional and timely manner. 
  • Support the development and distribution of project reports, presentations, and other deliverables. 
  • Maintain and update project documentation, databases, and client records. 
  • Collaborate with team members to ensure timely completion of tasks and deliverables. 
  • Assist in the development and refinement of client service processes and procedures. 
  • Provide administrative support, including data entry, document formatting, filing, and version control. Monitor project progress and gather client feedback to inform improvements. 
  • Participate in team meetings and contribute to planning and execution of client service strategies. 
Qualifications:

Education, Knowledge, and Experience

  • Bachelor's degree in Business Administration, Communications, Social Science or a related field. 
  • 1-2 years of experience in project coordination or administrative support, preferably in a client services or customer-facing environment. 
  • Experience communicating with clients or stakeholders in a professional setting. 

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); experience with project management tools (e.g., Asana, Smartsheet, or MS Project) is a plus. 
  • Ability to handle sensitive information with discretion and maintain confidentiality. 
  • Strong attention to detail, with a commitment to producing high-quality work. 
  • Customer service mindset and a proactive approach to supporting client needs. 
  • Strong organizational and time management skills, with the ability to prioritize multiple tasks. Ability to work both independently and collaboratively in a virtual team environment.
