Job description

Overview
We are seeking a full-time Tradeshows & Events Specialist 1 at Garmin's U.S. headquarters in the Greater Kansas City area. In this role, you will be responsible for coordinating with supervision all aspects of domestic tradeshows: plan, design, manufacture, install, dismantle, ship, storage, logistics, execution, and reporting. In addition, this role supports all of Garmin's segment teams with tradeshow production and execution.
Essential Functions
  • Plan and coordinate multiple tradeshow projects assigned and budget responsibility will vary but will be responsible for tradeshow budgets up to and possibly in excess of $25,000
  • Attend and participate in multi-disciplinary tradeshow planning meetings
  • Complete end-of-show debrief reports
  • Assist with the management of warehouse and booth assets as directed
  • Serve as show site assistant for assigned Garmin tradeshows/events, communicate key information to leadership, and coordinate with venues to ensure show site orders made during the planning process are fulfilled
  • Administer the timely execution of booking, installation, service contracts, dismantle, shipping, and storage needs as required to ensure a successful showing at trade events as well as plan, coordinate, and execute all aspects of tradeshow logistics
  • Work at office storage facilities and Garmin's warehouse to prep booth assets with direction
  • Provide show site supervision of non-Garmin skilled laborers performing the installation, dismantle, shipping and storage of tradeshow assets and collateral to ensure Garmin's success at trade events
  • Negotiate with outside suppliers and entities under supervision to ensure the best price/outcomes for Garmin's presence at trade events
  • Gather and organize input from internal clients on tradeshow objectives and needs; apply information to each show
  • Create and execute shipping, labor, and packing orders for tradeshows
  • Research external resources for tradeshow materials, gather options for purchases
  • Capture and enter show cost information for budgeting/forecasting in a timely and accurate manner
  • Evaluate the competitive landscape, tradeshow and exposition industry insights, technologies, and trends
  • Build strong rapport with suppliers and business partners
  • Remain current on and adhere to external tradeshow and exposition policies and procedures
  • Serve as an active participant on side projects supporting department and/or company needs which includes serving on multi-disciplinary project teams, researching innovative solutions for potential challenges or issues, and/or providing insight on matters related to tradeshows and exhibits

Basic Qualifications
  • Bachelor's Degree AND a minimum of 1 year of relevant experience OR equivalent combination of education and relevant experience
  • Must be willing to travel domestically 75% of the time, including being out of town for multiple days at a time, including weekends
  • Ability to work with limited supervision on show and project assignments
  • Ability to execute projects with direction from management, while fostering relationship development
  • Must be willing and able to perform, and supervise, manual labor(ers) as directed, specifically exhibit booth installation and dismantling work, and packing/shipping of show freight
  • Must possess the ability to bend, twist and lift up to 55 pounds while using safe lifting techniques
  • Demonstrated proficiency in Microsoft Office applications including Word, Excel, Power Point, Jira, SharePoint, and Oracle
  • Demonstrated strong and effective verbal, written, and interpersonal communication skills
  • Must possess organizational and analytical skills with strong attention to detail and quality assurance
  • Must be team-oriented, possess a positive attitude, and work well with others
  • Demonstrated success in solving difficult problems
  • Ability to prioritize and multi-task workload as directed by leadership while working in a fast-paced, flexible, and challenging environment
  • Willing to utilize personal and Garmin-provided transportation to assist with the movement of tradeshow assets between off-site storage and Garmin facilities as required
  • Must be willing to respond to critical issues via phone or e-mail which may occur outside of normal working hours, weekends, and/or holidays
  • Understanding in the use of power and manual tools

Desired Qualifications
  • Previous experience in the tradeshow industry
  • Supplier oversight, negotiation, production, and budget experience
  • Experience in construction and/or carpentry
  • Project management experience
  • Certifications relevant to Garmin's product segments
