About the Role
Keeper Strategies is seeking an Executive Assistant & Development Coordinator to provide high-level administrative and organizational support to the CEO. This is a critical role in a fast-paced, mission-driven environment — you'll keep the CEO operating at full capacity while also playing a meaningful role in donor and funder relationship management.

This is a hybrid position based in the Washington, DC area. Full-time hours are preferred, though part-time arrangements will be considered for the right candidate.

Key Responsibilities

  • Manage the CEO's calendar, including scheduling internal and external meetings, calls, and events
  • Coordinate domestic and international travel arrangements, including flights, accommodations, ground transportation, and itineraries
  • Prepare and reconcile expense reports, credit card statements, and reimbursements
  • Serve as the primary scheduling and logistics point of contact between the CEO and internal/external partners
  • Draft, proofread, and manage correspondence, briefing materials, and presentations on behalf of the CEO
  • Track deadlines, action items, and priorities to ensure timely follow-up; document key decisions and next steps
  • Support the CEO in managing donor and funder relationships across multiple clients and projects
  • Maintain accurate records in CRM or donor tracking systems, including contact information, giving history, and personal details
  • Track pledges and coordinate with the appropriate financial point of contact when gifts are secured
  • Draft donor correspondence, acknowledgment letters, and follow-up emails on behalf of the CEO
  • Assist with donor event coordination, including logistics and preparation of materials or talking points
  • Provide occasional administrative support to other senior staff; handle confidential information with discretion

Qualifications

  • Bachelor's degree required
  • 3–5 years of executive support experience, ideally within a nonprofit, philanthropic, or consulting environment
  • Proficiency in Microsoft Office Suite, Google Workspace, and CRM or donor database tools (Salesforce, HubSpot, or similar)
  • Experience with Canva or other design tools for marketing materials
  • Strong organizational and time management skills with the ability to manage multiple priorities
  • Excellent written and verbal communication skills; high attention to detail
  • High ethical standards, sound judgment, and professional discretion
  • Ability to work independently and remotely when needed
  • Genuine commitment to Keeper's mission and clients' vision; ideological alignment a plus
