Assistant Childcare Director - St. James Community Childcare (SJCC & SBTB)

Job Summary:Â
The Assistant Childcare Director supports the daily operations of St. James Community Childcare (SJCC) and Saved By The Bell (SBTB) programming. The Assistant Director assists with staff supervision, scheduling, licensing compliance, family communication, and overall program coordination to ensure a safe, organized, and high-quality environment for children and families.
The Assistant Director serves as a support resource for staff, children, and families while helping maintain effective daily operations and ensuring compliance with Minnesota Department of Human Services (DHS) licensing requirements and district policies. The position may serve as the primary point of contact when the SJCC Director is unavailable.
Essential Duties and Responsibilities
Program Leadership & Operations
- Assist in coordinating and overseeing daily operations of SJCC and SBTB programmingÂ
- Support classrooms and programming areas by providing staff coverage as needed.
- Help ensure smooth daily program operations from opening to closing.
- Monitor staffing assignments and maintain required staff-to-child ratios.
- Manage monthly staffing calendars and schedules to ensure compliance with ratio requirements.
- Assist with student transitions, scheduling, and program coordination.
- Support implementation of safe, engaging, and developmentally appropriate programming.
- Oversee school-age programming (Saved By The Bell) in collaboration with the SJCC Director.
- Demonstrate knowledge of and adherence to emergency procedures and safety protocols.
Staff Support & Supervision
- Provide support, guidance, and assistance to childcare and school-age staff.
- Assist with onboarding, training, scheduling, and daily staff support.
- Help maintain a positive, collaborative, and professional work environment.
- Support staff in maintaining compliance with district procedures and licensing expectations.
- Assist in communicating operational updates, expectations, and program needs to staff.
Family & Community Communication
- Communicate effectively with families and respond to questions or concerns in a timely manner.
- Send and manage parent communications including emails, applications, updates, and notifications.
- Promote positive relationships and customer service with children, families, staff, and community members.
- Serve as a point of contact for SJCC and SBTB when the Director is unavailable.
Compliance & Administrative Responsibilities
- Support compliance with Minnesota DHS licensing requirements and district policies.
- Maintain attendance records, child files, and required documentation.
- Assist with maintaining organized program records and operational documentation.
- Support health, safety, and sanitation practices throughout the program.
- Maintain confidentiality of student, family, and staff information in accordance with district and legal requirements.
General Responsibilities
- Maintain professionalism, ethical conduct, and appropriate professional boundaries at all times.
- Serve as a positive role model for children and staff.
- Support SJCC and SBTB programming during school days, non-school days, and summer programming as needed.
- Perform other duties as assigned by the SJCC Director or Community Education Director.
Supervisory Responsibilities
- Assists with supervision and support of childcare and school-age program staff.
- Provides leadership and direction during assigned operational periods.
- Assists with staff scheduling, support, and communication.
Qualifications
Required Qualifications
- High school diploma or equivalent.
- Meets Minnesota DHS qualifications for assigned role (Teacher or Assistant Teacher)
- Experience working in a licensed childcare or school-age care setting preferred.
- Strong communication, organizational, interpersonal, and problem-solving skills.
- Ability to work collaboratively with children, families, and staff.
- Ability to maintain confidentiality and exercise sound judgment
- Minimum of 1,040 hours of paid or unpaid staff supervision experience.
- Minimum of nine quarter credits or 90 clock hours in staff supervision, human relations, child development, or related fields.
Preferred Qualifications
- Associate's degree or higher in Early Childhood Education, Child Development, Education, Human Services, or related field.
- Previous supervisory or leadership experience in childcare or school-age programming.
- Experience working with DHS licensing requirements and childcare compliance systems.
- Bilingual or multilingual communication skills.
Certificates, Licenses, and Registrations
- Current First Aid and CPR certification or ability to obtain upon hire.
- CPI certification or ability to obtain upon hire.
- Valid driver's license preferred.
Physical Requirements
- Ability to lift up to 40 pounds
- Ability to move, bend, stand, and actively engage with children throughout the workday.
Work Environment
Work responsibilities are performed in a fast-paced childcare and school-age program setting requiring flexibility, collaboration, and active engagement with children, families, and staff.
