OVERVIEW

We are looking for a PART TIME Administrative Assistant!! At Cavco Retail Group, we ignite opportunity delivering a huge impact on people’s lives through the delivery of affordable housing. ABOUT THE ROLE

The Retail Administrative Assistant is responsible for providing additional administrative support at the direction of the Sales Center Management Team. The daily responsibilities will change based on the support required. Bilingual-Spanish a plus!

Core Responsibilities
  1. Deal Tracker — Complete & Keep Current
    • Maintain the master Deal Tracker for Lot #101.
    • Enter every new deal promptly.
    • Update deal status as it progresses.
    • Track required documents and missing items.
    • Track title status.
    • Track construction requirements and status.
    • Track outstanding customer/salesperson items.
    • Record important dates and deadlines.
    • Update the tracker throughout the week so management always has an accurate picture of every working deal.
    • Flag overdue or stalled items to management.
  2. OneDrive Document Management
    • Upload all required documents to the appropriate deal folder.
    • Maintain consistent folder and file naming.
    • Verify documents are legible and complete.
    • Keep OneDrive synchronized with the Deal Tracker.
  3. Title Processing
    • Collect required title documentation.
    • Submit and track title paperwork.
    • Follow up on outstanding title items.
    • Update the Deal Tracker with title status.
    • Archive completed title files.
  4. Construction Coordination
    • Identify working deals requiring construction.
    • Coordinate scheduling with the appropriate people/vendors.
    • Track construction progress.
    • Document changes and completion.
    • Upload construction-related documents to OneDrive.
    • Keep construction status current in the Deal Tracker.
  5. File Archiving
    • Conduct a final file review when a deal is completed.
    • Confirm required documentation is present.
    • Upload outstanding documents.
    • Move completed files into the appropriate archive.
    • Update the Deal Tracker to show the deal as completed/archived.
