Mitigation Administrative AssistantSwift Restoration, LLC dba SERVPRO is seeking an experienced, detail-oriented Mitigation Administrative Assistant to join our growing restoration team. The ideal candidate will have prior experience working in the restoration, insurance, mitigation, or construction industry and understand the fast-paced nature of emergency services.
This position plays a critical role in supporting our mitigation department by assisting with job documentation, estimates, customer communication, insurance programs, and Third-Party Administrator (TPA) requirements.
Responsibilities
  • Provide administrative support to the Mitigation Department, Project Managers, and Estimators
  • Assist with creating, reviewing, and updating estimates and job documentation in Xactimate

  • Upload and maintain job documentation, photos, drying logs, estimates, invoices, and other required documents
  • Work within TPA and insurance carrier platforms, including Contractor Connection, Alacrity, and other similar programs

  • Monitor job assignments and ensure required documentation is submitted within program deadlines
  • Communicate with insurance adjusters, TPA representatives, customers, and internal team members
  • Assist with job file audits to ensure completeness and compliance
  • Track outstanding documentation, estimates, approvals, and invoices
  • Enter and maintain accurate job information in company software and TPA portals
  • Assist with scheduling and coordinating mitigation projects as needed
  • Follow up on approvals, supplements, and outstanding items
  • Maintain organized and accurate electronic job files
  • Support the mitigation team with other administrative duties as assigned
Qualifications
  • Previous administrative experience in the restoration, mitigation, insurance, or construction industry preferred

  • Experience using Xactimate is required

  • Experience working with TPA programs, including Contractor Connection and Alacrity, is strongly preferred
  • Knowledge of water, fire, mold, and other mitigation services preferred
  • Understanding of insurance claims and restoration documentation is a plus
  • Strong computer skills and ability to learn multiple software platforms
  • Excellent organizational and time-management skills
  • Ability to manage multiple projects and deadlines in a fast-paced environment
  • Strong attention to detail and accuracy
  • Professional written and verbal communication skills
  • Ability to work independently while also functioning effectively as part of a team
