Employment Type: 12-Month Contract Assignment

Are you a highly organized project coordinator who thrives in fast-paced technology environments? Trissential is hiring a Portfolio Coordinator – Customer AI to join our client's innovative Customer AI portfolio team. This is an exciting opportunity to support the delivery of Agentic Voice Response (AVR), a flagship AI initiative that is setting the foundation for future Customer AI products.

In this role, you'll become the operational backbone of the product team, helping drive financial tracking, governance processes, stakeholder coordination, and executive reporting while working alongside product leaders delivering cutting-edge AI solutions.

Your Role & Responsibilities

Financial Coordination & Tracking

  • Maintain budget and financial tracking tools, including forecast versus actual spend reporting
  • Monitor purchase orders, invoices, commitments, and spend burn-down activities
  • Reconcile financial information against vendor statements of work (SOWs)
  • Identify and escalate budget variances, financial risks, and forecasting concerns
  • Prepare financial updates and reporting packages for leadership review

Program Governance & Documentation

  • Maintain RAID logs including risks, actions, issues, and decisions with clear ownership and due dates
  • Track action items and drive follow-through across stakeholders and vendors
  • Assemble governance review packages including go/no-go reviews, readiness reviews, and project checkpoints
  • Maintain version-controlled program documentation in SharePoint and Teams
  • Support governance processes by ensuring documentation remains current and audit-ready

Project Coordination & Stakeholder Management

  • Coordinate recurring project meetings, working sessions, leadership reviews, and governance forums
  • Develop meeting agendas and distribute supporting materials
  • Capture meeting minutes, decisions, and action items
  • Follow up with stakeholders to ensure commitments are delivered on time
  • Maintain project calendars, onboarding trackers, access requests, approval workflows, and status trackers

Reporting & Communication

  • Consolidate updates from business teams, vendors, and delivery partners into executive-ready reporting
  • Produce weekly status updates and monthly governance summaries
  • Support the Product Owner and Product Manager with reporting packages and operational data
  • Provide accurate and timely project information that enables informed decision-making

Skills & Experience You Should Possess

  • 4-7 years of project coordination, program coordination, PMO support, or delivery support experience within technology or transformation programs
  • Experience managing project governance activities including RAID logs, action tracking, meeting management, and status reporting
  • Hands-on experience supporting budgets, forecasting, invoice tracking, PO tracking, and financial reporting
  • Strong proficiency with Microsoft 365 tools including Excel, PowerPoint, Outlook, Teams, and SharePoint
  • Experience preparing executive-level presentations and status reports
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities in a fast-paced, matrixed environment
  • Strong attention to detail with the ability to identify and escalate issues proactively
  • Comfortable coordinating across business teams, IT teams, leadership stakeholders, and vendors

Bonus Points If You Have

  • Experience supporting AI, customer experience, contact center, or digital transformation initiatives
  • Exposure to Agile delivery methodologies including sprint planning, backlog management, and governance reviews
  • Familiarity with Jira, Microsoft Project, or similar project delivery tools
  • Experience supporting vendor management, SOW tracking, or procurement processes
  • Knowledge of capital versus operational expense tracking models
  • Experience working within utilities, regulated industries, or audit-sensitive organizations
  • Understanding of internal-use software capitalization practices
  • SAFe, Scrum, CAPM, or PMP certification experience

Education & Certifications You Need

  • Bachelor's degree in Business, Information Technology, Project Management, Finance, or a related field preferred
  • Equivalent professional experience will also be considered
  • CAPM, PMP (or pursuing PMP), SAFe, or Scrum certifications are considered a plus but are not required
