Overview

The Business Systems & AI Administrator is responsible for identifying, implementing, and maintaining technology solutions that improve operational efficiency across Reference Services, Inc. This position combines Salesforce administration, workflow automation, AI implementation, software integrations, vendor management, and business process improvement to help RSI scale while maintaining exceptional client service.

Responsibilities

Salesforce Administration

  • Serve as primary Salesforce Administrator.
  • Maintain users, permissions, dashboards, reports, workflows, and automation.
  • Create custom objects, fields, reports, and business processes.
  • Monitor data integrity and improve CRM adoption throughout the company.
  • Develop executive dashboards and operational reporting.

AI & Process Automation

  • Evaluate and implement AI technologies to improve operational workflows.
  • Identify repetitive tasks suitable for automation.
  • Develop AI-assisted workflows for customer service, operations, sales, compliance, and reporting.
  • Train employees on approved AI tools and best practices.
  • Continuously evaluate new AI technologies that increase productivity and reduce operational costs.

Systems Integration & API Management

  • Manage integration between Salesforce, Slack, TazWorks, QuickBooks, Microsoft 365, and other business applications.
  • Coordinate API development with software vendors.
  • Troubleshoot integration issues and improve data synchronization.
  • Identify opportunities to eliminate duplicate data entry through automation.
  • Document all system integrations and workflows.

Slack Administration

  • Administer Slack workspaces, channels, permissions, and workflows.
  • Develop Slack automations and notifications.
  • Maintain integration with Salesforce and other business applications.
  • Improve internal communication through workflow automation.

Operational Technology Improvement

  • Analyze existing business processes and recommend technology improvements.
  • Design automated workflows that improve productivity and reduce manual effort.

  • Research emerging technologies beneficial to the background screening industry.

Vendor Management & Quality Assurance

  • Perform daily vendor audits to ensure data accuracy and service quality.

  • Maintain vendor scorecards and performance reporting.
  • Work with vendors to improve automation and service delivery.

Reporting & Analytics

  • Develop operational dashboards for executive leadership.
  • Create KPI reporting for operations, sales, finance, and customer service.
  • Analyze workflow bottlenecks and recommend improvements.
  • Monitor automation effectiveness and operational efficiency metrics.

Documentation & Training

  • Create documentation for technology systems and automated processes.
  • Train employees in new software features and best practices.
  • Develop standard operating procedures for technology platforms.
  • Maintain knowledge base documentation.

Desired Qualifications

  • Bachelor’s degree in information technology, Business Administration, Computer Information Systems, or related field preferred.
  • 3+ years administering Salesforce or similar CRM platform.
  • Experience with workflow automation platforms (Power Automate, Zapier, Make, or similar).
  • Experience working with APIs and software integrations.
  • Experience implementing AI tools in business operations.
  • Strong understanding of Salesforce reporting, dashboards, and automation.
  • Experience administering Slack or Microsoft Teams.
  • Excellent analytical and problem-solving skills.
  • Ability to communicate technical concepts to non-technical users.
  • Strong project management and organizational skills.
  • Experience with SQL, REST APIs, or scripting languages is a plus.
