Mailroom Manager
Location: Near Albany, NY (Onsite)
Pay Rate: $32 - $40 per hour
Employment Type: Full-Time
Position Overview
Our well-established, high-volume production and mailing client is seeking a hands-on Mailroom Manager to lead daily mailing department activities. This role is responsible for overseeing workflow, supervising staff, and ensuring that all mailing projects are completed accurately, efficiently, and in compliance with industry standards.
This is a leadership role that requires both operational oversight and active involvement on the production floor, making it ideal for someone who thrives in a fast-paced, process-driven environment.
Key Responsibilities
Department Leadership & Team Management
  • Oversee day-to-day operations of the mailing department
  • Supervise and support production staff, including machine operators
  • Set clear expectations around quality, productivity, and accountability
  • Provide coaching, training, and performance feedback to team members
  • Coordinate staffing and workload to meet production demands

Workflow & Production Management
  • Plan, prioritize, and schedule jobs to meet deadlines and maximize efficiency
  • Manage workflow from initial job setup through final mailing distribution
  • Ensure all projects are completed according to specifications and compliance requirements
  • Identify bottlenecks and implement process improvements to increase throughput

Equipment & Technical Oversight
  • Oversee operation and performance of mailing equipment, including inserters and addressing systems
  • Assist with setup, troubleshooting, and optimization of machinery
  • Coordinate maintenance and repairs with internal teams or external vendors
  • Ensure proper use of systems including cameras, sensors, and data matching processes

Quality Assurance & Compliance
  • Ensure all mailings meet USPS regulations and internal quality standards
  • Verify job accuracy, including data integrity, barcode functionality, and piece matching
  • Maintain detailed documentation and ensure compliance across all projects
  • Resolve mailing, data, or production issues as they arise

Operational & Floor Support
  • Maintain a strong presence on the production floor and lead by example
  • Assist with hands-on production tasks when needed to keep operations on track
  • Monitor performance metrics such as throughput, accuracy, and efficiency
  • Support continuous improvement initiatives and standard operating procedures

Job Requirements
Qualifications
  • Experience in mailing operations, print production, or manufacturing environments
  • Strong understanding of workflow management and process optimization
  • Mechanically inclined with the ability to troubleshoot equipment issues
  • Experience with inserter systems or mailing equipment preferred
  • Familiarity with systems such as W+D inserters or Kirk-Rudy equipment is a plus
  • Strong leadership, organizational, and communication skills
  • Ability to manage multiple priorities in a high-volume production setting
