Job description

Position Overview
The Marketing Operations & Logistics Specialist will manage the operational and administrative responsibilities of our tradeshows and all community events. This person will also promote our displays and event marketing activities on social media. They will act as a brand ambassador in our communities, always professionally representing our Company and team.
This position will also work as a liaison between the operations and marketing teams on seamless show set-ups, teardowns, and display repairs. They will be the main point of contact for all show and events vendors, handle all show contracts and associated orders, and act as the on-staff show coordinator across our marketing areas. He or she will also constantly seek and present new exhibit opportunities to the Lead Generation & Advertising Manager.
Additionally, the Marketing Operations & Logistics Specialist will assist the Marketing team on a variety of marketing and operations tasks, as assigned, including supporting the successful planning and execution of team initiatives. They will be the go to person to enhance processes, document operating procedures and create easy to use systems across the marketing team and beyond.
Marketing Operations & Logistics Specialist Responsibilities
Shows & Events
  • Facilitate all external events, comprised of tradeshows, fairs and festivals, while working closely with Marketing & Operations Team Leadership to execute the creative vision for each show.
  • Maintain a current inventory of all show and events assets.
  • Secret-shop and compile competitive scouting reports of other exhibitors at each event we attend.
  • Maintain relationships with vendors to schedule and book shows in a timely manner
  • Research and propose new shows and events to Advertising & Lead Generation Manager
  • Assist in management of marketing team expenses and keep a detailed budget for all shows and events
  • Conduct internal staff surveys and report on feedback from each event attended
  • Travel to events to assist in set-up, interact with customers, and providing them with information about our products and companies as needed

Corporate Culture
  • Coordinate all initiatives developed by the Corporate Culture team including internal contests, celebrations, and annual gala events across all office locations.
  • Assist Internal Communications team with on-site logistics for town hall and webcast events as needed.
  • Assist Marketing Department with staging and environmental design both internally in the office environment, and externally in tradeshow and event booths.
  • Plan and manage customer events within our office locations and showrooms as needed
  • Manage the annual sweepstakes
  • Plan and execute annual companywide gala

Marketing Logistics & Project Management
  • Assist with researching competitors and keeping track of promotions
  • Manage project management platform (Monday)
  • Hold team members accountable to deadlines and crucial tasks
  • Record and draft SOP's for the Marketing Team
  • Own meetings. recaps and agendas of team meetings
  • Coordinate photoshoots and video testimonials with customers or stakeholders including but not limited to staging, initial reach out and schedule coordination
  • Act as a production assistant to Multimedia Specialist during customer testimonials and other video/photo shoots
  • Other duties as assigned by Lead Generation & Advertising Manager

Marketing Operations Specialist Qualifications
  • Willingness to travel up to 30% of the time
  • Ability to work in a flexible schedule including some nights and weekends during events
  • Bachelor's Degree in Marketing, Advertising, Communications, Digital/Tech or Business, or related field
  • 3-5 Years of Event Marketing experience (not including internships)
  • Contagious energy and passion for events and meeting performance standards
  • Tech-savvy and able to learn new software programs for use in decision making
  • Ability to work with a cross-departmental team
  • Exceptional communication skills
  • Excellent negotiation and phone skills
