POSITION SUMMARY
The Admissions Team Manager is responsible for the comprehensive management of both the Admissions Consultant team and the admissions pipeline and data infrastructure that drives performance. This role goes beyond people leadership - the Manager owns the full operational picture: who is working leads, how those leads are tracked, where the pipeline is healthy or broken, and what the data says about team and conversion performance. The Admissions Team Manager reports directly to the Admissions Director and serves as the primary operational bridge between frontline consultants and senior leadership.
Schedule: Monday - Friday; 8 AM - 5 PM with on call after hours.
Salary: Up to $100,000 / yr plus eligibility for the monthly admission team bonus!
PRIMARY DUTIES & RESPONSIBILITIES
Team Management & Performance Oversight
  • Directly supervise and develop Junior and Admissions Consultants
  • Set and monitor individual and team performance goals aligned to census targets
  • Conduct regular 1:1 meetings, call reviews, and performance coaching sessions
  • Manage attendance, scheduling, and day-to-day operational coverage
  • Address performance issues with structure, documentation, and consistency

Pipeline & Data Management
  • Own the daily lead pipeline across the consultant team, ensuring every lead is properly assigned, actively worked, and accurately documented
  • Monitor pipeline health in real time - identifying stale leads, coverage gaps, and follow-up deficiencies and taking immediate corrective action
  • Ensure timely and compliant follow-up cadence is maintained across all assigned leads
  • Oversee the accuracy and completeness of all CRM and EMR data entries by the consultant team
  • Generate and analyze pipeline and conversion reports to identify trends, opportunities, and areas of underperformance
  • Use data to drive daily prioritization decisions and team workflow adjustments
  • Escalate high-complexity cases or significant pipeline risks to the Admissions Director as appropriate

Reporting & Communication
  • Deliver daily, weekly, and monthly performance and pipeline reports to the Admissions Director
  • Track and own individual consultant KPIs including speed-to-contact, follow-up compliance, conversion rates, and documentation accuracy
  • Communicate team-level trends, pipeline risks, data integrity issues, and opportunities to senior leadership
  • Maintain a clear operational picture of team performance at all times and be prepared to speak to it in leadership meetings

Call & File Auditing
  • Conduct regular audits of consultant calls to assess quality, compliance, and adherence to admissions standards
  • Review patient files and CRM documentation for accuracy, completeness, and regulatory compliance
  • Identify trends in compliance gaps or performance deficiencies and implement corrective action
  • Maintain an audit log and track remediation actions for identified issues
  • Ensure team adherence to HIPAA, 42 CFR Part 2, and Alsos Management Company documentation standards

Consultant Coaching & Development
  • Provide direct, structured coaching to Admissions Consultants based on call audit findings and performance data
  • Conduct regular individual coaching sessions focused on objection handling, follow-up execution, and conversion techniques
  • Reinforce admissions best practices, scripts, and standard operating procedures
  • Lead onboarding and training for new Admissions Consultants
  • Identify growth opportunities and support promotion readiness within the consultant track

Cross-Functional Coordination
  • Partner with Sr. Admissions Team Lead and Admissions Director on workflow improvements
  • Coordinate with Operations and Clinical teams on admissions logistics as needed
  • Support alignment between consultant activity and overall census strategy

Position Requirements
Education & Experience
  • Bachelor's degree preferred
  • 3-5 years of experience in admissions, healthcare sales, or related field
  • 1-2 years of supervisory or team lead experience required
  • Experience in behavioral health or substance use treatment strongly preferred

Knowledge, Skills & Abilities
  • Strong leadership, coaching, and people management skills
  • Data-driven with the ability to track and act on KPIs
  • Excellent communication skills - written, verbal, and interpersonal
  • Proficient in CRM and EMR documentation platforms
  • Working knowledge of HIPAA and 42 CFR Part 2
  • Ability to manage competing priorities in a fast-paced environment
