Job description

The Admissions Representative serves as the first point of contact for incoming inquiries and calls. This entry-level position focuses on fielding calls, gathering preliminary information, and routing inquiries to the appropriate Admissions team member. The Admissions Representative provides professional, compassionate, and efficient customer service to all prospective clients, families, and referral sources while ensuring accurate documentation and prompt communication with the admissions team.

Admissions Duties

• Answer and route incoming calls to the appropriate department or staff member.

• Serve as the first point of contact for potential clients, families, and referral sources.

• Gather basic information and document inquiries accurately into the CRM or intake system.

• Provide general program information and ensure all messages are routed correctly.

• Assist with scheduling initial screenings or call transfers to Admissions Specialists.

• Maintain a professional and empathetic demeanor during all client interactions.

• Follow up on missed or dropped calls to ensure client engagement and satisfaction.

• Support admissions and facility staff with administrative tasks as assigned.

Requirements:

• High school diploma or equivalent required; Associate degree preferred.

• Prior experience in customer service, healthcare call centers, or behavioral health settings preferred.

• Excellent phone etiquette and strong verbal communication skills.

• Ability to multitask, prioritize, and work efficiently in a fast-paced environment.

• Proficiency in Microsoft Office and CRM or EMR systems preferred.

• Professional and compassionate approach when handling sensitive inquiries.

Job Type: Full-time

Experience: at least 2 years admissions experience 

Compensation: $50,000-$80,000 based on experience
