Position Summary
The Admission Processing Coordinator (Administrative Support Coordinator I) plays a critical behind-the-scenes role in supporting the admissions process at San Diego State University. As part of the First-Year Admissions Processing team, this position helps ensure that thousands of student applications, transcripts, and academic records are processed accurately, efficiently, and in accordance with university, CSU, and state requirements.
Working in a high-volume, deadline-driven environment, the coordinator reviews and processes applicant records, resolves data discrepancies, maintains the integrity of student information, and supports essential admissions workflows. The work requires exceptional attention to detail, sound judgment, and a commitment to accuracy, as the information processed by this team directly impacts admissions decisions and students' ability to enroll at SDSU.
Success in this role requires a collaborative mindset, adaptability during peak admissions cycles, and the ability to balance speed with accuracy while managing competing priorities. Key Responsibilities
Coordinate admission record processing and workflow activities, including the prioritization, tracking, compilation, and distribution of applicant records, transcripts, admission appeals and supporting documents to ensure timely review and processing.
Review and resolve applicant data discrepancies related to personal information, identification records, and application details by conducting research, updating student information systems, and collaborating with staff and applicants.
Process and evaluate admission documents, including transcripts, test scores, educational evaluations, and other academic credentials to determine document authenticity, completeness, and proper record matching.
Maintain accurate student records and application data by performing corrections, status updates, document indexing, and archival activities within student information and imaging systems.
Provide responsive applicant support and communication, addressing document requests, application status inquiries, fee waiver requests, and admissions-related questions with professionalism and clarity.
Generate and monitor operational reports and workflows, utilizing student information systems, CRM platforms, and external databases to track application processing, identify issues, and support admissions decision-making.
Troubleshoot admissions processing issues and coordinate resolutions, working across systems and departments to address challenges impacting application review, document processing, and overall admissions operations.

Position Information
- This is a full-time (1.0 time-base), benefits eligible, temporary position with an anticipated end date of 12 months and a day of start date, with the possibility of reappointment.
Position is designated non-exempt under FLSA and is eligible for overtime compensation.
Standard SDSU work hours are Monday - Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.
This position is approved for partial telecommuting with onsite work in San Diego.
Department Summary
Enrollment Services supports students throughout their entire academic journey-from application and admission through graduation. The division includes Undergraduate and Graduate Admissions, the Office of the Registrar, Financial Aid and Scholarships, Evaluations, Recruitment and Outreach, and other student-centered services that help ensure access, enrollment, and academic success at San Diego State University.
Within Enrollment Services, the Office of Admissions is responsible for the recruitment, evaluation, and admission of first-year, transfer, graduate, international, and student-athlete applicants. The office manages the review and processing of applications while ensuring compliance with university, CSU, and state admission policies.
The First-Year Admissions Processing Unit plays a critical role in supporting prospective and admitted students by providing administrative and operational support for the admissions process. The team manages application and transcript processing, test score verification, document imaging, and applicant record maintenance, helping to ensure an efficient and accurate admissions experience for thousands of students each year.

Education and Experience
Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite. These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

Salary is based on your experience, education, and qualifications, within the department's budget and equity guidelines.
CSU Classification Salary Range: $4,047.00 -$5,896.00/month; hiring salary not expected to exceed $4,047.00/month.
