Job description

TSC is seeking an Administrative Assistant II in Huntsville, AL. This position serves as a receptionist for the Discovery Drive location as well as performs general administrative duties supporting multiple operations in Huntsville.

Responsibilities:

  • Screening, receiving, and accurately registering visitors.

  • Administrative functions include but are not limited to; assisting employees with expense reports, ordering, and managing refreshments and luncheons, order supplies as needed, use Microsoft Office to produce high quality reports, presentations, or other documents.

  • Greet visitors and employees, answer inquiries, and create a welcoming environment.

  • Answer the telephone, screen calls, take messages, forward calls, etc.

  • Receive deliveries; sort and distribute incoming mail.

  • Track and order supplies.

  • Use MS Outlook to email and arrange meetings to include conference room scheduling.

  • Assist in preparation and arrangement of organizational-wide meetings, luncheons, and events.

  • Create and maintain MS Office Power Point presentations, Word documents, Excel spreadsheets, etc.

  • Complete Costpoint expense reports for VISA purchases.

  • Other administrative duties assigned by supervisor as business needs arise.

Required Qualifications:

  • High School diploma or equivalent plus 4-5 years of direct related experience.

  • Experience as receptionist and administrative assistant.

  • Experience with Microsoft 365, including Word, Excel, Outlook, Teams and PowerPoint.

  • Reliable, resourceful, work accurately and independently and with an ability to anticipate, initiate and follow through with all work requirements.

  • Excellent interpersonal skills and professionalism, a high level of discretion and confidentiality, the ability to interact with internal and external customers as well as employees and management.

  • Able to organize and prioritize tasks with minimum supervision and possess strong office management and office technology skills.

  • Experience in use of modern Information Communication Technology equipment, including telephone exchange, computer, copier, printer, scanner.

  • Ability to complete a wide range of tasks with minimal supervision.

  • Excellent organizational skills, ability to prioritize work and maximize productivity.

  • U.S. Citizenship required.

  • Experience developing internal processes and filing systems

  • Data entry experience

  • Experience supporting management staff
