Status: Full-Time (40 hrs/week)
Position Purpose
To provide responsible secretarial services and operational office assistance for an assistant or associate dean, chairperson, director or principal administrator of a school, department, institute, or administrative unit at Oakland University.
Key Duties & Responsibilities
Core Duties
  • Provide general secretarial support and office assistance to academic or administrative leaders.
  • Answer, screen, and route telephone calls and visitors; respond to inquiries from internal and external sources (students, faculty, staff, public).
  • Compose routine correspondence and draft letters/documentation.
  • Select, assemble, organize, and edit data for reports, presentations, or departmental materials.
  • Create and maintain departmental files and databases.
  • Prepare, format, and proofread materials for publication/distribution (brochures, newsletters).
  • Perform general bookkeeping/clerical accounting and help reconcile financial records or budget expenditures.
  • Operate standard office equipment (phones, copiers, computers).
  • May instruct or assign work to student assistants or lower-level staff.
  • Perform other related duties typical of office support positions as needed.
Minimum Qualifications
High school graduation or equivalent combination of education and experience.
At least three (3) years of progressively responsible secretarial/clerical experience.
Familiarity with university policies, rules, and procedures.
Solid keyboarding skills (typically intermediate word processing and spreadsheets).
Ability to compose routine correspondence and edit data/reports.
Ability to interact effectively with students, faculty, staff, and the public.
Competence in general bookkeeping and clerical accounting.
Ability to prioritize tasks and expedite assignments for the unit.
Knowledge of proper grammar, spelling, punctuation, and usage of standard office manuals.
Ability to use standard office equipment independently.
