JOB DESCRIPTION SUMMARY

Ballard On the Park has an immediate opening for an experienced Operations Coordinator! Our team members are high performers that care about customer service and exceed expectations. The Senior Maintenance Technician plays a critical role in our success.
The Operations Coordinator supports a broad range of facility management and building operations needs by delivering essential administrative and operational support to the communitys maintenance and operations teams. This role helps ensure facilities are well maintained, compliant, and operating efficiently.

JOB DESCRIPTION

  • Complete routine inspections of custodial work, building entryways, and special work order areas

  • Perform routine maintenance and inspections for equipment

KEY RESPONSIBILITIES:
  • Collaborates regularly with Operations staff to support daily facility management activities and to ensure units and common areas are clean, well maintained, and movein ready.
  • Prepares and reviews contract documents, including issuing purchase agreements, drafting change orders, assembling transmittal packages, securing approvals and signatures, and ensuring all documentation is accurately distributed and processed.
  • Develops reports, maintains transaction logs, and creates tracking tools to monitor invoices, expense reports, and project progress, providing timely updates to management as needed.
  • Processes projectrelated billing by reviewing and submitting credit applications, establishing new vendors, coding invoices, and completing followup to ensure timely payments.
  • Monitors expenses and supports adherence to fiscal guidelines and budget expectations.
  • Creates and distributes communication materials, schedules appointments, and serves as a point of contact for internal teams, external partners, and vendors.
  • Collects and verifies vendor documentationsuch as insurance certificates, W9 forms, lien releases, and licensesto ensure compliance with regulatory and code requirements.
  • Supports project execution by coordinating tasks, managing documentation, and assisting with vendor and contractor relationships to ensure timely and successful project completion.
  • Participates in ongoing evaluation and refinement of operational policies and procedures.
  • Conducts routine inspections of custodial work, building entryways, and special work order areas to ensure quality and safety standards are met.
BASIC KNOWLEDGE & QUALIFICATIONS:
  • Bachelors degree in Business Management, Property Management, or related field from an accredited college or university preferred.
  • 2-3 years of experience in housing operations, property management, or related field.
  • Detail-oriented and self-motivated with the ability to work independently and as a collaborative member of a team.
SPECIALIZED SKILLS:
  • Demonstrated proficiency in Internet, word processing, spreadsheet, and database management programs in order to complete required reports and documents.
  • Proficiency in using property management software (preferably Yardi).
  • Demonstrated experience building collaborative partnerships with operations and maintenance staff and business partners.
TRAVEL / PHYSICAL DEMANDS:
  • Team members work in an office or remote work environment.
  • Job demands may require occasional heavy lifting, up to 15 pounds (6.8 kg)
  • Routine, local travel may be required between assigned areas and other facilities.
  • Rare or occasional travel may be required to attend business meetings, training programs, or other situations necessary for the accomplishment of some or all of the daily responsibilities of this position.

The hourly range for this position is $27.00 - $30.00

Many factors go into determining employee pay within the posted range including business requirements, prior experience, current skills and geographical location.

  • Corporate Positions:Inaddition to the base salary, this role may be eligible to participateina quarterly or annual bonus program based onindividual and company performance.
  • Onsite Property Positions:Inaddition to the base salary, this role may be eligible to participatein weekly, monthly, and/or quarterly bonus programs.
