Job description

Title: Administrative Coordinator
Department: Foundation Initiatives
Reports to: Sarah Belden, Director of Foundation Initiatives
Location: Kingston, RI
Employment Type: Exempt, Full-Time
Position Summary:
The University of Rhode Island Foundation (URIF) seeks a highly organized, proactive, and detail-oriented professional to serve as Administrative Coordinator. Reporting directly to the Director of Foundation Initiatives, this position plays a critical role in supporting the day-to-day executive operations of the Foundation and providing high-level administrative support to the CEO. The Administrative Coordinator manages the administrative and operational affairs associated with the executive office, ensuring the efficient coordination of priorities, schedules, meetings, communications, and special projects. This role requires exceptional organizational and communication skills, sound judgment, discretion in handling confidential information, and the ability to anticipate the needs of executive leadership while managing multiple priorities in a fast-paced environment. The Administrative Coordinator serves as a key liaison with internal and external stakeholders and contributes to the overall effectiveness and success of the Foundation's executive operations.
Key Responsibilities:
• Support the day-to-day executive operations and functions of the organization including scheduling and communication with members across the organization and university.
• Effectively manage multiple requests and tasks with competing priorities.
• Demonstrate thoroughness and special attention to detail while meeting deadlines in a fast-paced environment.
• Research, prepare and edit documents and reports with accuracy.
• Foster and sustain strong relationships across the organization and the university.
• Communicate and collaborate effectively with URIF team members, university partners, and external stakeholders.
• Operate autonomously, while demonstrating a strong collaborative style, and diplomacy to manage complex situations involving numerous and competing priorities.
• Other duties as assigned.
Required Education and Experience
• Bachelor's degree required.
• Two to four years of professional experience.
• Strong organizational skills: ability to prioritize and handle multiple projects simultaneously.
• Strong written, verbal, and interpersonal communication skills, including excellent listening, relationship-building, and customer-service skills.
• Ability to effectively respond to internal and external customers in a timely and professional manner.
• Proven ability to work collaboratively across disciplines/units and build cross-functional interdisciplinary partnerships.
• Proficiency in using Microsoft applications (Excel, Word, and Teams)
• Proven ability to maintain confidentiality and data integrity.
Preferred Education and Experience
• Experience preferably in higher education, non-profit, and/or professional office environment.
• Experience with Salesforce, and donor database contact management and tracking systems.
Salary: $55,000 based on experience.
