We are looking for an Administrative Coordinator to support daily office operations in Massachusetts. The position offers a steady Monday through Friday schedule and works closely with teams supporting administration and accounting activities.
Responsibilities:
• Manage incoming client calls, respond professionally to inquiries, and direct requests to the appropriate team members.
• Coordinate and maintain appointment schedules to help ensure timely service and efficient daily operations.
• Prepare, organize, and submit permit-related documentation while keeping records accurate and up to date.
• Provide administrative support for accounting and operational functions, including document handling and routine office tasks.
• Enter, update, and maintain information in internal systems and spreadsheets with a high level of accuracy.
• Assist with general clerical duties such as filing, correspondence, and record management to support office efficiency.
• Use Microsoft Office applications and internal data systems to track information, prepare documents, and support departmental workflows.• Experience in an administrative, coordination, or office support role.
• Strong ability to handle inbound calls and communicate professionally with clients and internal staff.
• Proven skill in scheduling, calendar coordination, and managing multiple priorities.
• Familiarity with permit processing, document filing, or related administrative recordkeeping.
• Working knowledge of Microsoft Office Suite, including Outlook, Word, and Excel.
• Construction industry exposure is preferred, particularly in environments involving service or trade operations.
• Basic accounting knowledge or experience supporting accounting-related administrative tasks is preferred.
• High attention to detail and accuracy in data entry, documentation, and follow-up activities.
