Job Description

Urbanex is seeking a highly organized and proactive Administrative Assistant to provide comprehensive support to our Sales Operations Manager and executives as needed. The ideal candidate will excel in managing calendars, coordinating events, and assisting with various administrative tasks. This role requires a self-starter with excellent communication skills and the ability to handle multiple priorities in a fast-paced environment. We maintain a typical 40-hour work week with a flexible morning routine. Our team kicks off the day around 9:00 AM, and we usually roll into the office between 9:30 AM and 10:00 AM. This is a hybrid role, you'll have the flexibility to work from home on designated days, though it isn't fully remote. Because we win as a team, you'll need to be available for occasional after-hours and Saturday support during our peak sales season to ensure our sales crew has what they need.

Responsibilities:

  • Fulfill solicitors' permits as required, liaising with relevant authorities and maintaining compliance with regulations.
  • Conduct monthly inventory checks and maintain accurate records of stock levels.
  • Maintain organization of sales merchandise
  • Manage inventory for office supplies and equipment, ensuring adequate stock levels and timely replenishment.
  • Assist in execution with all companywide incentives.
  • Shipping all things necessary to sales teams in a timely manner.
  • Support the door-to-door housing process by coordinating logistics, managing documentation, and aiding the sales team as needed.
  • Collaborating with the Sales Operations Manager on various administrative tasks, including housing research, rental applications, furniture rental, and utilities setup across all offices.
  • Assisting in the planning and execution of all sales-related events.
  • Provide support for incentives for both D2D and inside sales.

Qualifications:

  • Proven experience in administrative or coordination roles, preferably in a sales or customer service environment.
  • Excellent organizational and multitasking abilities, with strong attention to detail.
