Bilingual Administrative Coordinator

Pay: $18 - 21
Schedule: 8AM – 5PM
Location: Pasadena, 77502

Job Summary

We are seeking a professional and detail-oriented Bilingual Administrative Coordinator to serve as the front-line point of contact in a fast-paced industrial environment. This role supports daily operations by managing customer interactions, coordinating order pickups, controlling facility access, and assisting with administrative tasks. The ideal candidate is bilingual (English/Spanish preferred), highly organized, and comfortable working closely with warehouse, shipping, receiving, and production teams. Experience in shipping & receiving or a warehouse environment is a strong plus.

Qualifications

  • High school diploma or equivalent required
  • 2+ years of administrative, customer service, or front desk experience
  • Experience in warehouse, manufacturing, or distribution environments preferred
  • Bilingual (English/Spanish) preferred
  • Strong communication and customer service skills
  • Ability to multitask in a fast-paced environment
  • High attention to detail and accuracy
  • Proficient in Microsoft Office (Excel, Outlook, Word)
  • ERP/WMS system experience is a plus

Key Responsibilities:

Customer & Order Coordination

  • Greet customers and assist with order pickups
  • Verify order status, pick tickets, and required documentation before release
  • Coordinate with shipping and warehouse teams to schedule loading
  • Communicate order status, delays, and wait times clearly to customers
  • Escalate urgent or same-day requests to management as needed

Shipping, Receiving & Returns Support

  • Verify and process return authorizations (RMA)
  • Coordinate with receiving and warehouse teams for incoming/outgoing materials
  • Assist with unloading and ensure accurate product verification
  • Support documentation and routing of returned or repaired items
  • Work with internal teams to coordinate repair evaluations and quotes

Vendor & Visitor Management

  • Greet and direct vendors, delivery drivers, and visitors
  • Coordinate deliveries with receiving or appropriate departments
  • Maintain controlled access to warehouse and shipping areas

Administrative Support

  • Organize and maintain order documentation (physical and digital)
  • Upload and audit shipping photos and records
