JOB DESCRIPTION
ADMINISTRATIVE ASSISTANT - HIGH SCHOOL (9-12)
QUALIFICATIONS:

  • Excellent communication skills
  • Excellent computer and data entry skills
  • Experience working with the public
  • High school diploma (college work in a related field, a plus)
JOB GOAL: To assure smooth and efficient operation of the school office
Reports to: Principal
PERFORMANCE RESPONSIBILITIES:
  • Data input and maintain records in Skyward.
  • Fill homework requests.
  • Distribute and monitor completion of Prearranged Absence Forms.
  • Answer telephone, take messages and direct calls as needed.
  • Greet parents and other guests in a friendly manner.
  • Monitor building visitors, sign-in sheets and distribution of name tags.
  • Assist faculty.
  • Fill in for nurse as needed.
  • Sign and document bus notes.
  • Watch unruly children in the office or detention room until teacher or administrator is available.
  • Dismiss students leaving early from school.
  • Monitor bus radio and weather radio.
  • Attend Kindergarten Roundup.
  • Attend Meet the Teacher Night.
  • Take daily attendance and keep attendance records.
  • Make phone calls on student absences that were not called in.
  • Enroll new students, obtain pertinent paperwork (birth certificate, immunizations, special concerns, etc.) and make up new student folders.
  • Receive and send new student information to teachers and Director of Transportation.
  • Maintain and route student permanent records.
  • Complete required attendance reports: ADA, ADM, Prime Time, Racial/Ethnic and Language/Minority.
  • Schedule students, update and maintain class lists.
  • Prepare and print scan sheets and report cards.
  • Print and monitor return of Student Profile sheets.
  • Compile honor roll lists and send to local newspaper.
  • Sort and distribute inter-school mail in a timely fashion.
  • Sort and distribute mail from post office in a timely fashion.
  • Schedule substitutes for pre-arranged absences and enter on substitute calendar.
  • Complete and file required paperwork for substitute teachers and teacher absences.
  • Prepare weekly newsletter.
  • Maintain School Activity and Corporation calendars.
  • Coordinate telephone maintenance and repair and voicemail setup.
  • Distribute information that needs to go to the classrooms.
  • Collect and record field trip payments and receipt of related permission slips.
  • Distribute club information, make club assignments and compile club lists.
  • Maintain Suggestion Box on a weekly basis.
  • Monitor and route volunteer background check applications.
  • Perform various tasks as requested by the principal.
PERSONAL AND PROFESSIONAL RESPONSIBILITIES:
  • Nurture a positive relationship with super-ordinates, subordinates and peers.
  • Demonstrate respect for super-ordinates, subordinates and peers.
