Job Summary

We are seeking a reliable, organized, and professional Part-Time Administrative Assistant to provide day-to-day administrative support across two distinct business environments: an IT government contractor office in Reston, VA and a clothing boutique in Ashburn, VA. This role will also provide direct administrative support to the CEO. The ideal candidate has at least one year of office experience, communicates professionally, handles confidential information with discretion, and is comfortable supporting both corporate office operations and boutique retail office needs.


Key Responsibilities

  • Provide administrative and clerical support for the IT government contractor office in Reston, VA and the clothing boutique office in Ashburn, VA.
  • Assist the CEO with scheduling, calendar coordination, meeting preparation, correspondence, reminders, and follow-up tasks.
  • Answer and direct phone calls, respond to general inquiries, greet visitors, and maintain a professional front-office presence.
  • Schedule appointments, coordinate meetings, reserve conference rooms, and prepare meeting materials as needed.
  • Prepare, edit, scan, copy, file, and organize documents, forms, letters, reports, email correspondence, and business records.
  • Maintain electronic and physical filing systems, including administrative records, vendor files, boutique-related documents, and general business files.
  • Assist with data entry, spreadsheets, reports, basic recordkeeping, and tracking of information needed for office operations.
  • Support the Reston IT government contractor office with general administrative coordination, including visitor logistics, office supplies, vendor communication, document organization, and internal communications.
  • Support the Ashburn clothing boutique office with administrative tasks such as purchase/order paperwork, inventory-related records, customer appointment coordination, vendor follow-up, and general office organization.
  • Collect, sort, and distribute mail, deliveries, and office communications for both locations.
  • Monitor office supplies and coordinate supply orders for both business locations.
  • Assist with special projects and other administrative duties as assigned.


Qualifications

  • Minimum of 1 year of office, clerical, receptionist, customer service, retail office, or administrative support experience preferred.
  • High school diploma or equivalent required; additional administrative, business, or office technology coursework is a plus.
  • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
  • Strong organizational skills with attention to detail, accuracy, and follow-through.
  • Professional verbal and written communication skills.
  • Ability to handle confidential company, executive, customer, vendor, and business information with discretion.
  • Dependable, punctual, and able to manage multiple tasks within a part-time schedule.

Compensation

This position pays $37k - 40k, depending on experience and qualifications.
