Position Summary

This position is key to the service operation the Outside Service Planner answers calls from our customers, assigns the tech to the job in expand it, approves the service report once the job is completed, makes sure all billable lines are in the system and toggles the job for invoicing. This is our set up and billing arm in service.

Key Responsibilities

• Answer in-person, phone, fax, and email inquiries and obtain information for customers and internal departments.

• Assist with all departmental needs relating to service operations, customer service, or general administration.

• Assist in management of administrative aspects of service department including filings, documentation invoicing, past due account reporting, customer service

• File and maintain hard-copy files/documents and(or) electronic files, as needed

• Create and maintain reports for departments as required

• Update electronic information in company software, for accuracy and completeness.

• Call customers as needed

• Work with stockroom/outside purchasing for all service group material requisitions

• Assist with Rental paperwork

Key Metrics /Performance Indicators

· Jobs are scheduled at least one week ahead

· Receiving is processed within 24 hours of delivery

· Calls are answered before the 3rd ring

· Weekly inventory cycle counting is complete

· Tech hours are reconciled before Monday at 10 am for last week.

· Safety sign ins & Safety Walk is completed every month

Job Requirements

· Travel may be required when training in different branches

· College Diploma or Equivalent Experience, or Education

· Must be comfortable on fork truck

· Must be able to lift 40lbs-50lbs around a 10k sft. warehouse

Work Schedule

  • · Hours of operation 7:30am-4:30pm , must be able to work weekends if needed, must be able to participate in on-call rotation for emergency service calls.
