Job Summary
The Document Controller & QA Administrator is accountable for the full administration of Creative Modular Construction's (CMC) Document Management System (DMS) and the day-to-day operational support of the Quality Assurance program in compliance with company policies, procedures, and ISO 9001:2015 requirements. This role ensures controlled documents and records follow standardized naming, numbering, formatting, versioning, review and approval workflows, publication, archival, and retention requirements while supporting audit readiness, regulatory compliance, and continual improvement across the organization.
Key Responsibilities
โ€ข Administer the CMC DMS, including folder structure, access controls, version management, and conversion of approved documents to locked PDF formats
โ€ข Assign permanent document numbers and perform QA reviews for formatting, naming, sections, and chain-of-reference compliance
โ€ข Publish approved documents, archive superseded versions, and maintain document registers
โ€ข Manage the full document lifecycle, including draft, QA review, approval, publication, periodic review, archival, and retention/disposal
โ€ข Coordinate and administer internal quality audits, maintain QA records and registers, and track non-conformances and corrective actions
โ€ข Support external ISO and regulatory audits by preparing document and records evidence packages
โ€ข Enforce document and records control procedures, including controlled copies, legal holds, and destruction requirements
โ€ข Maintain and distribute official company document templates and QA forms
โ€ข Support Document Owners and Process Owners with numbering requests, QA training, and communication of revisions or audit findings
โ€ข Assist with QA data analysis, trend reporting, and continual improvement initiatives
Qualifications / Requirements
Education
โ€ข Associate degree or equivalent required
โ€ข Bachelor's degree in Business, Quality, or Information Management preferred
Experience
โ€ข 3+ years combined document control, records management, and QA administration experience required
โ€ข 5+ years in construction, manufacturing, or ISO 9001 environments preferred
โ€ข Experience working with senior leadership and presenting information in a concise and effective manner preferred
Technical Skills
โ€ข Proficiency in Microsoft Office applications, including Word and Excel
โ€ข Experience with DMS, SharePoint, or EDMS platforms
โ€ข Strong understanding of version control, audit trails, QA record-keeping, and document retention practices
โ€ข Experience with QA software and non-conformance tracking preferred
Certifications / Licenses
โ€ข ISO 9001 Internal Auditor certification preferred
โ€ข Certified Records Manager (CRM) certification preferred
