Job description

SUMMARY
Responsible for assisting in managing the fiscal functions of the agency, performing primary audit functions, and maintaining the fixed asset inventory and accounting software.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned as needed.
  • Review A/P, A/R, cash receipts, and general ledger entries prior to posting for accuracy, post the invoices and print the batches
  • Perform general ledger audits/analyses, review journal entries and adjust as necessary
  • Assist the Administration and Finance Director in preparing monthly financial statements for the Board
  • Audit petty cash when replenishment is needed
  • Prepare all bank reconciliations, including reconciling to the check registers and G/L accounts
  • Ensure all capital assets are tagged with an inventory control number and perform the annual inventory of fixed assets
  • Maintain fixed asset records within the accounting software package and prepare fixed asset reports as needed
  • Work with an independent auditing firm regarding the annual audit of accounts, prepare audit workpapers in all aspects of the general ledger functions and assist auditors as needed
  • Ensure all reports to external entities are filed in a timely manner
  • Audit and reconcile quarterly payroll tax reports
  • Perform backups, updates, and maintenance of accounting software on a regular basis
  • Audit year-end W-2 tax forms and year-end reports, and work with ADP for any revisions
  • Bring cash deposits to the bank on a weekly basis when the Senior Accountant is unavailable.
  • Recruit and hire the Accountant and Payroll/ Assistant Accountant, with assistance from the Administration & Finance Director, as deemed necessary
  • Train and supervise the Accountant and Payroll/Assistant Accountant
  • Complete performance reviews and supervisory meetings, including periodic check-ins and disciplinary meetings, if deemed necessary, of the Accountant and Payroll/Assistant Accountant
  • Participate in the cross-training of job duties in the Fiscal Department and provide coverage in the absence of other Fiscal Department staff as needed
  • Manage the fiscal department in the absence of the Administration & Finance Director
  • Maintain various fiscal procedural manuals including Fiscal Department Procedures Manual, Accounting Manager's Job Manual, and the Fixed Assets manual
  • Assist the Administration and Finance Director with special projects as needed

Education and Experience
  • Bachelor's degree in related field with over three years of accounting experience
  • Two years of supervisory experience preferred.
