Reports To: Chief Financial Officer

Position Summary

Kinetic Clinical Research, LLC is seeking a detail-oriented and highly organized Finance & Accounting Assistant to support the Chief Financial Officer with day-to-day finance, accounting, payroll, sponsor/CRO invoicing, vendor, and administrative functions. This position is well suited for a recent graduate or early-career professional interested in accounting, finance, healthcare, pharmaceutical research, or clinical research operations.

Prior accounting experience is preferred but not required. The ideal candidate must be reliable, accurate, discreet, professional, and willing to learn.

Key Responsibilities

  1. Assist with accounts payable, accounts receivable, invoice tracking, payment follow-up, and vendor communications.
  2. Prepare, track, and follow up on invoices submitted to CROs, sponsors, and other study partners.
  3. Maintain organized financial records, payment files, expense documentation, sponsor/CRO correspondence, and supporting materials.
  4. Support payroll-related documentation, employee reimbursement tracking, and coordination with payroll vendors or platforms.
  5. Assist with clinical research finance tracking, including study payments, vendor invoices, patient stipends, sponsor reimbursements, and pass-through costs.
  6. Prepare and maintain Excel spreadsheets, budget trackers, invoice logs, reports, and finance-related summaries.
  7. Assist the CFO with finance calendars, deadlines, document requests, internal follow-up items, and special projects.
  8. Attend clinic sites as necessary for finance-related document collection, internal coordination, vendor review, or other business needs.
  9. Maintain confidentiality of financial, employee, patient, and company-sensitive information.

Minimum Qualifications

  1. Bachelor’s degree required; BA or BS in Accounting, Finance, Business Administration, Economics, Healthcare Administration, or related field preferred.
  2. Accounting, bookkeeping, payroll, invoicing, or finance experience preferred, but not required.
  3. Strong Excel and spreadsheet skills required.
  4. Strong attention to detail and accuracy with numbers, invoices, and financial records.
  5. Excellent organizational, follow-up, and communication skills.
  6. Ability to work remotely, independently, and meet deadlines with minimal supervision.
  7. Ability to visit clinic locations as necessary based on business needs.
  8. Ability to handle confidential information with professionalism and discretion.
  9. Ability to work in a fast-paced healthcare, pharmaceutical, or clinical research environment.

Preferred Qualifications

  1. Familiarity with QuickBooks, payroll platforms, BambooHR, accounting software, or similar systems.
  2. Prior experience with accounts payable, accounts receivable, sponsor/CRO invoicing, vendor invoices, expense reports, or payroll support.
  3. Experience in healthcare, pharmaceutical, biotech, clinical research, or medical office operations.

Compensation

The expected pay range for this position is $26.00 to $40.00 per hour, depending on education, accounting experience, Excel proficiency, healthcare or pharmaceutical industry experience, and ability to support CFO-level finance operations.
