Job description

Essential Duties & Responsibilities

  • Oversees operational aspects of an academic program, assessing and modifying program processes as needed to meet depart and quality assurance goals
  • Creates and manages course schedules and calendars. Maintains and tracks a master schedule, collaborating with faculty to ensure compliance with course delivery procedures
  • Handles program operation logistics such as ordering course materials and handling instructor payments
  • Analyzes program metrics and performance measures and assists with reporting of program goal assessment results
  • Prepares and monitors the program budget, including purchase orders, invoice payments, and monthly financial reconciliations
  • Serves as liaison with students on operational issues and concerns. Gathers feedback on program effectiveness and supports the continuous improvement of services by providing recommendations to program leadership
  • Other duties as assigned

The Academic Program Operations Administrator III, Graduate & Combined Accelerated Programsplays a strategic and highly collaborative leadership function supporting RIT's Combined Accelerated Bachelor's/Master's (CABM) programs, an important pathway for recruiting, retaining, and advancing high-achieving students into graduate education.
Reporting to the Associate Provost and Dean of the Graduate School, this positionserves as a central coordinator and CABM subject-matter expert, working across colleges and administrative units to support more than 3,000 students. The role ensures effective program operations, consistent policies, and seamless student experience from recruitment through transition to graduate study, while also contributing to broader Graduate School initiatives that enhance graduate education and student success across RIT.
Key aspects of the position include:
  • Designing and improving academic and operational processes, including student eligibility reviews and undergraduate-to-graduate transitions
  • Leveraging data and analytics to track outcomes, inform planning, and support decision-making for academic leadership
  • Building consensus and collaboration across campus with faculty, advisors, Enrollment Management, the Registrar's Office, Financial Aid, and Institutional Research
  • Serving as a primary point of contact in complex student cases and serving as a key resource for faculty, staff, and students navigating CABM programs
  • Leading communications, outreach, and programming to support recruitment, engagement, and retention
  • Contributing to Graduate School priorities, including events and cross-campus initiatives that strengthen graduate education

Familiarity with RIT systems, academic policies, advising workflows, and tools such as Excel or reporting platforms is particularly valuable.
