Job Title:

Academic Support Assistant (PAV)

Job Summary:

Under the general supervision and direction of the Director for Academic Planning and Operations, the Academic Support Assistant will maintain all graduate and undergraduate course schedules and course registration within the School of Nursing and Health Professions. This involves 450+ course sections each semester, including on campus and distance learning courses as well as clinical and fieldwork placements for over 1000 students yearly. Duties also include updating instructor and course changes in Banner, assisting students with registration each semester, providing information sessions regarding registration and block schedule. The incumbent will also maintain the course catalog and program curriculum patterns in Banner and other sources as needed, and provide general academic services support as assigned. This position reports to the Director of Academic Planning and Operations.

Full Job Description:

Schedule and Course Planning 50%

  • Partners with program directors and/or Associate Deans to design and complete annual and semester course schedule build out -- this includes developing the semester schedule template, provide enrollment statistics and cohort mapping, and implement scheduling changes, registration changes, classroom requests, class cancellations, course fees, faculty workload, and final examinations.

  • Uses the current curriculum patterns for course schedule forecasting to support the Director of Academic Planning and Operations.

  • Prepare and edit annual course schedule and catalog copy. Enter and maintain updates of courses in Banner schedule.

  • Maintain and update departmental student portal relevant to schedules and courses, ensuring information is available regarding the schedule, placements, room assignments, curriculum and orientation.

  • Support the management of general catalog, course data, course updates in Banner.

  • Coordinate efforts with Clinical Placement Coordinators, Business Specialist and lead program staff. (e.g., confirming clinical site information to update block schedules, track faculty assignment changes post Census, assisting in ensuring students are registered before closing the blocks)

  • Participates as the staff of the Curriculum Committee and provides administrative support for the course and curriculum development process - including serving as a superuser of Scheduling- and Curriculum-Management Systems (e.g., Banner and Curriculog).

  • Audits course rosters to ensure students are registered correctly in partnership with program staff.

  • Communicates with the USF Branch Campuses personnel to develop the schedule and rooming for SONHP.

  • Coordinate scheduling consolidated final examinations in collaboration with the Office of the University.

General Academic Services 50%

  • Provide registration/student information systems support.

  • Assist students with questions and problems relating to the issues of registration and course blocks.

  • Validates course fee information each term in collaboration with Student Financial Services office.

  • Maintain general knowledge of academic support applications (e.g., Banner, Tableau, Typhon, Salesforce, CORE, TAMS, MCE, CCPS, Curriculog, Salesforce)

  • Provide the Business Specialist with post census updates pertaining to faculty teaching assignment changes to ensure accurate compensation.

  • Confirm reservations of Cowell Spaces - CO 212, 113, 215 Common areas, 411.

  • Process non-traditional classroom requests via EMS.

  • Serve as liaison with the bookstore and assists with desk copy requests.

  • Tracks BNC report/audit for any correction needs in Banner.

  • Provide general academic services support as needed.

  • Perform other duties as assigned.

Minimum Requirements

  • Post high school education preferred.

  • Training or experience equivalent to five (5) years of increasingly responsible work experience or related education.

  • Strong experience working with databases required.

  • Demonstrated critical thinking, planning, problem-solving and interpretive skills to analyze situations, define problems, identify concerns, develop and propose solutions.

  • Ability to work with a variety of constituencies and explain complex rule-based systems with a high degree of service and compassion.

  • Appreciation of student privacy and understanding of FERPA regulations.

  • Ability to work independently to create, modify and implement policies and procedures and as a member of a team.

  • Excellent listening, written and organizational skills.
