Job Summary:
The Engineering Coordinator supports the Engineering & Maintenance team by providing essential administrative and clerical services. This position ensures effective communication, scheduling, record-keeping, and coordination to help maintain smooth and efficient departmental operations.


Key Responsibilities:

  • Provide administrative support to the Chief Engineer and Engineering team
  • Maintain organized records including work orders, inspection reports, vendor contracts, safety logs, and compliance documentation
  • Assist with the scheduling of preventative maintenance and repair activities
  • Track inventory of tools, parts, and supplies; help process purchase requests
  • Coordinate appointments with vendors, inspectors, and contractors
  • Prepare and distribute internal communications, memos, and reports
  • Monitor departmental timekeeping and assist with payroll submissions when necessary
  • Respond to internal inquiries regarding maintenance requests and project status updates
  • Support compliance efforts for local, state, and brand-mandated safety and regulatory requirements
  • Assist with special projects, audits, or capital improvement initiatives as needed
  • Conduct regular walk-throughs of the hotel, offering support and assistance with light maintenance tasks as needed to ensure smooth operations and guest satisfaction.

Qualifications:

  • High school diploma or equivalent required; associate degree or higher preferred
  • Minimum 1–2 years of administrative or office coordination experience, preferably in hospitality or facilities/engineering setting
  • Strong organizational skills with attention to detail
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
  • Excellent communication and interpersonal skills
  • Ability to prioritize tasks and handle multiple responsibilities in a fast-paced environment.
  • Must be able and willing to conduct regular walk-throughs of the hotel, offering support and assistance with light maintenance tasks as needed to ensure smooth operations and guest satisfaction.

Work Environment:

  • This role is typically performed in an office environment within the hotel’s Engineering Department.
  • The environment at times will warm and humid as this is an open air hotel.
