Administrative Business Assistant
Dallas, TX (100% onsite)
$31.25/Hour
Monday-Friday, 8:00 AM-5:00 PM
Position Overview
We are seeking a highly organized, proactive, and resourceful Administrative Business Assistant to provide high-level administrative and office management support in a fast-paced corporate environment.
This position will work closely with the President and leadership team, handling executive support, office operations, corporate administration, and confidential projects. The ideal candidate is polished, detail-oriented, professional, and able to confidently manage multiple priorities while maintaining a high level of discretion.
Key Responsibilities
Executive Administrative Support
  • Provide high-level administrative support to the President and senior leadership.
  • Manage calendars, appointments, meetings, and scheduling priorities.
  • Coordinate domestic and international travel arrangements and itineraries.
  • Prepare and process expense reports.
  • Prepare meeting materials, presentations, reports, correspondence, and other documents.
  • Serve as a professional liaison between leadership and internal/external stakeholders.
  • Coordinate board meetings, leadership meetings, offsites, and special projects.
  • Handle confidential and sensitive information with professionalism and discretion.
Office Management
  • Oversee the day-to-day operations of the corporate office.
  • Manage office supplies, vendors, service providers, and facility-related needs.
  • Serve as a primary point of contact for building management and office services.
  • Help maintain a professional, organized, and welcoming office environment.
  • Coordinate workspace, equipment, access, and other onboarding logistics for new employees.
  • Identify and address office-related issues proactively.
Corporate Administration
  • Assist with internal communications and company-wide initiatives.
  • Maintain corporate records, contracts, files, and compliance documentation.
  • Provide administrative support to HR and Finance as needed.
  • Coordinate company meetings, events, employee activities, and team-building initiatives.
  • Support special projects and other administrative priorities as assigned.
Qualifications
  • 5+ years of experience in executive support, office management, corporate administration, or a similar role.
  • Previous experience supporting a President, CEO, executive, or senior leadership team strongly preferred.
  • Excellent organizational and time-management skills.
  • Strong attention to detail and follow-through.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Strong proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Experience with collaboration tools such as Microsoft Teams.
  • Ability to handle confidential information with discretion and integrity.
  • Professional, polished, and customer-service-oriented demeanor.
  • Strong problem-solving skills and the ability to work independently.
