We also make powerful industrial refrigeration systems for food warehousing, pharmaceuticals, and even ice rinks!

Our company is structured across 2 divisions – the Display Case Division, located in North Prairie, WI, Waukesha, WI, and Mukwonago, WI and the Refrigeration Systems Division, located in Ramsey, MN and Dyersville, IA.

What Will You Do?

Under the direction of the Inside Sales Manager, the Sales Coordinator provides support for the Inside Sales team by handling administrative tasks, managing schedules, processing orders, and acting as a liaison between clients and representatives. This role focuses on efficiency and customer satisfaction through order management reporting, CRM use, and excellent communication to drive sales growth.

Essential Responsibilities:

  • Obtains and conveys information, sometimes of a confidential nature to/from other departments, divisions, and offices.  Coordinates information flow internally and externally.
  • Handles initial quote processing.
    • Set up quote information in IFS (ERP)
    • Review information for completeness
    • Send acknowledgment to outside sales representatives
    • Set up files
  • Processes order acknowledgements.
  • Processes new orders over to Engineering (order/project entry).
  • Processes pass-through orders over to Purchasing.
  • Processes storage orders and costs in customer orders.
  • Process service work orders and submission of service documents.
  • Enter customer orders in shipping calendar.
  • Enter customer information and other data in IFS (ERP).
  • Generate departmental reports as needed (i.e., Weekly Order Report).
  • Inputs final quoted dollars into opportunities in IFS (ERP).
  • Process delivery date change notifications.
  • Process RMAs in IFS (ERP).
  • Coordinate with supply chain coordinators tracking information for pass through equipment.
  • Attend customer meetings.
  • Processes correspondence and scheduling reports to customers.
  • Helps organize literature for meetings.
  • Backup for phones.
  • Performs all office-related duties relating to correspondence, filing, copying, faxing, e-mailing.
  • Other duties as assigned

Requirements for Effective Performance:

  • High School Diploma, or associate’s degree in business management or related field
  • 1-3 years of relevant experience
  • Proficient with ERP / CRM software
  • Intermediate-advanced understanding of Microsoft Office products (Word, Excel, PowerPoint, etc.)
  • Previous experience in sales support, customer service, or related administrative role.

  • Maintain a positive work attitude. Zero Zone expects all employees to behave and communicate in a manner which will facilitate good relationships with customers, clients, co-workers, and supervisor.
  • Safety toe shoes and safety glasses are required while in production areas.
  • Regularly required to sit, stand, and walk throughout the office and production areas; have use of hands and fingers to use a computer, telephone, and other office equipment; reach with hands and arms; and talk or hear. The employee must occasionally lift and/or move up to 15 pounds.
