Job description

Position: Document Control Clerk
Location: Vernon, TX
Reporting to the Project Manager, this role is responsible for ensuring that document control needs on a large mega project are met in a timely and accurate manner ensuring that best practice is consistently met.
Primary Duties:
  • Understand current business objectives, challenges, and issues in relation to Information Management
  • Assist in system and process improvements in document and data management
  • Understand compliance requirements for document and data management
  • Undertake a range of document control activities to ensure all project requirements are met with respect to incoming and outgoing documentation, and in accordance with accepted company processes and required deadlines
  • Assist in the administration of project EDMS including, ensuring deliverables are kept up to date and follow appropriate DC processes, procedures, and practices
  • Transmittal and distribution of documents to both internal and external clients based on document distribution matrices (DDM)
  • Act as focal point for all enquiries on project documentation for the project, clients, suppliers and third parties
  • Awareness of Yates archival requirements for hard copy and electronic records
  • Assist with project start up documents, such as distribution matrices, deliverables register document control plan and its associated procedures, templates, and work instructions

  • Responsible for refusing unsafe work and for carrying out all work in accordance with the established Yates Safety Procedures and Work Practices
  • Report all incidents, near hits and hazards to management.
  • Required to wear and maintain personal PPE.
  • Advise fellow employees of hazardous situations.
  • Participate in workplace inspections.
  • Comply with statutory requirements, including duty of care.
  • Participate in required and/or assigned training.
  • Provide suggestions to improve Safety.
  • Present a mature approach to working safely.
  • Attend prestart and Safety meetings and contribute.
  • Assists with administering the site safety program as required and ensuring Trade Partner compliance with OSHA standards and Yates Site Specific Requirements and all applicable safety codes and regulations.
  • Other related duties as needed and assigned by the Manager in support of the successful completion of the project.

Qualifications:
  • Highschool Diploma or GED
  • Bachelor's degree preferred
  • ProjectSight Trimble experience

Requirements:
  • Approximately one (1) to two (2) years' experience in document control
  • Exposure to EPCM projects
  • Exposure to Information Management Technologies
  • Knowledge working in a project engineering environment
  • Experience and knowledge in start-up, execution, and handover DM/ IM activities
  • Awareness of records management and archiving principles
  • ProjectSight Trimble experience
