Imagine contributing to a globally recognized leader in innovation, a company that consistently redefines technology and user experience. Our client is at the forefront of creating groundbreaking products and services that impact millions worldwide. They are seeking exceptional talent to join their dynamic team, partnering with Aquent to find individuals who are ready to make a significant impact.
Are you a master of organization, a strategic thinker, and a proactive coordinator ready to elevate global initiatives? This is an extraordinary opportunity to step into a pivotal role, where your expertise will directly shape the success and reach of worldwide programs. You won't just be supporting; you'll be a driving force, ensuring seamless execution and strategic alignment across a vast, interconnected ecosystem. Your work will provide critical visibility and operational excellence, directly contributing to the strategic growth and impact of global programs.
Working in close partnership with various cross-functional teams including marketing, public relations, production, and regional teams, you will coordinate workflows, maintain operational systems, and ensure alignment across key initiatives. By managing intake, governance, leadership review processes, reporting, and global program operations, you will provide critical visibility into the worldwide program portfolio and help ensure successful execution of strategic objectives.
Key Responsibilities
  • Own the day-to-day program intake tracker and ensure all submissions are complete and progressing through the review process.
  • Conduct an initial quality review of all program requests, validating alignment to strategic priorities, timing, budget, public relations opportunity, production support, and governance requirements.
  • Maintain the program calendar and ensure approved programs are accurately tracked from intake through recap.
  • Manage program status across the lifecycle (Proposed → In Review → Recommended → Approved → Delivered → Recapped).
  • Prepare weekly leadership review materials, highlighting recommendations, key decisions, and outstanding actions.
  • Track follow-ups and action items resulting from leadership reviews and ensure timely closure.
  • Support implementation of the global program strategy across retail operations, helping regional teams consistently apply the global framework.
  • Develop and maintain program playbooks, operational documentation, templates, and governance resources.
  • Maintain decision logs, FAQs, and intake guidance to improve consistency and transparency across regions.
  • Partner closely with regional teams to identify process improvements and scale best practices globally.
  • Coordinate cross-functional milestones supporting major program initiatives and operational rollouts.
  • Build and maintain program reporting dashboards tracking attendance, foot traffic, public relations participation, reach, and other key performance metrics.
  • Produce monthly business reviews that identify trends, opportunities, and recommendations-not simply report activity.
  • Standardize recap templates and reporting processes across geographies.
  • Monitor performance against strategic objectives and identify opportunities to strengthen the overall program portfolio.
  • Maintain a repository of program case studies and best practices to inform future planning.
  • Drive operational consistency across worldwide program planning processes, ensuring scalable workflows and clear ownership.
  • Develop standardized templates, documentation, and tools that improve efficiency across global, regional, public relations, production, and partner teams.
  • Identify opportunities to streamline workflows, eliminate manual effort, and improve visibility into program operations.
  • Support implementation of new operational tools and systems that strengthen planning, tracking, and reporting across the program organization.

What You Bring
  • Proven experience in program coordination or project management within a complex, global environment.
  • Exceptional organizational skills and meticulous attention to detail.
  • Strong ability to develop and maintain operational processes, documentation, and tools.
  • Excellent communication and interpersonal skills, capable of partnering with diverse cross-functional and regional teams.
  • Analytical mindset with experience in building and maintaining reporting dashboards and producing business reviews.
  • Proficiency in managing program lifecycles, from intake and review to delivery and recap.
  • Ability to identify process improvements and drive operational consistency and efficiency.
