Position Overview


We are seeking a dependable, organized, and detail-oriented Workshop Administrator to join our team. This position provides essential administrative and operational support to our workshop by maintaining accurate records, updating trackers, assisting with inventory and parts, preparing reports, and ensuring documentation is organized and up to date.

The ideal candidate is highly organized, comfortable working with Microsoft Excel and other Office applications, and able to manage multiple priorities in a fast-paced workshop environment. This role requires someone who takes initiative, pays close attention to detail, and is willing to assist wherever needed to help keep daily operations running efficiently.

Key Responsibilities

  • Update and maintain Excel spreadsheets and workshop trackers.
  • Maintain accurate and current records for jobs, inventory, parts, and other workshop activities.
  • Pull inventory as required using inventory logs, part numbers, and designated storage locations.
  • Assist with inventory tracking and ensure parts and materials are properly documented.
  • Assist with sourcing and tracking parts as needed.
  • Prepare and assist with workshop and operational reports; training will be provided.
  • Create, organize, and maintain electronic and physical filing systems.
  • Enter and update information accurately across company records and systems.
  • Organize job-related paperwork and supporting documentation.
  • Assist workshop personnel and management with general administrative tasks.
  • Follow up on outstanding information, documentation, and parts as required.
  • Ensure accuracy, consistency, and organization across all documentation and records.
  • Communicate effectively with workshop personnel, management, vendors, and other departments.
  • Provide general administrative support to help maintain efficient day-to-day workshop operations.

Qualifications

  • Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
