Job Summary:
The Private Grants Coordinator provides administrative and operational support for A New Leaf's private grants program by coordinating grant activities, maintaining grant records, supporting proposal development and reporting, assisting with funder stewardship, and helping ensure timely and compliant grant administration. This position collaborates with the grants team, program staff, Finance, and other departments to support successful grant funding and stewardship while advancing A New Leaf's mission.
Responsibilities:
  • Provide administrative support for private grants management activities, including funder communication, grant administration, and stewardship activities.
  • Coordinate and manage electronic files for grant documents, supporting documentation, correspondence, and related resources to ensure records are accurate, complete, and readily accessible.
  • Support data entry, maintenance, and tracking within the web-based grants management system to ensure accurate grant, funder, proposal, and reporting records.
  • Coordinate grants team performance and activity reports by compiling, organizing, and maintaining grant-related data and reporting metrics.
  • Assist with funder stewardship by preparing thank-you letters, correspondence, stewardship materials, and informal reports.
  • Manage and update funder contact information, grant records, proposal history, and related database information.
  • Provide support with grant and report writing, editing, formatting, assembly, and submission, as needed.
  • Provide additional administrative and project coordination support as required, including departmental meetings, special projects, and other related duties as assigned.
  • Collaborate with program staff, Finance, and other internal departments to obtain information, documentation, and supporting materials necessary for grant applications and reports.
  • Perform other duties as assigned to support departmental and organizational objectives.

Qualifications:
Education:
  • High School Diploma or GED required.
  • Associate's or bachelor's degree in Business Administration, Communications, English, Nonprofit Management, Public Administration, or a related field.

Experience:
  • One (1) to three (3) years of progressively responsible administrative, grants administration, nonprofit, fundraising, project coordination, or related office support experience preferred.
  • Experience coordinating multiple projects and meeting competing deadlines.
  • Experience maintaining accurate electronic records and filing systems.
  • Experience working with Microsoft Office 365, including Word, Excel, Outlook, Teams, and PowerPoint.
  • Experience working with grants management, donor management, or CRM software preferred.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and exercise sound judgment.

Working Conditions/Physical Requirements:
  • Hybrid work environment consisting of office-based work, remote work, donor meetings, community meetings, grant-related activities, and occasional travel throughout Maricopa and Pinal counties.
  • Frequent local travel may be required to support donor stewardship, grant activities, meetings, trainings, and other organizational business.
  • Occasional evening and weekend hours may be required to support grant deadlines, fundraising events, donor meetings, trainings, or other organizational activities.
  • Ability to sit, stand, walk, and drive for extended periods throughout the workday.
  • Ability to frequently use a computer, keyboard, telephone, and other standard office equipment while performing assigned duties.
  • Ability to occasionally lift and carry files, office supplies, presentation materials, or event materials weighing up to 25 pounds.
  • Ability to manage multiple priorities, projects, and deadlines while maintaining a high level of accuracy and attention to detail.
  • Must maintain professionalism, discretion, and confidentiality in all interactions with employees, donors, funders, volunteers, community partners, and external stakeholders.
