Job Description

SOCOTEC is seeking a detail-oriented Administrative Coordinator / Word Processor to join our Alameda, California office. This role provides administrative and operational support to project managers and technical staff, ensuring the efficient preparation of project documentation, coordination of office operations, and management of financial and administrative processes. The ideal candidate is organized, proactive, and thrives in a collaborative, fast-paced environment.

Essential Responsibilities

  • Prepare, edit, format, and proofread technical reports, proposals, correspondence, and other project-related documents.
  • Provide administrative support to project managers and technical staff throughout the lifecycle of engineering and environmental projects.
  • Organize, maintain, and manage project documents, records, and electronic files.
  • Maintain personnel records and coordinate with Human Resources and Accounting teams at the corporate office.
  • Process and track financial transactions, including reviewing and processing incoming invoices.
  • Assist with office administration, including copying, scanning, filing, and document distribution.
  • Answer and direct incoming telephone calls in a professional and courteous manner.
  • Order and maintain office supplies and equipment as needed.
  • Support general office operations and complete additional administrative tasks as assigned.
Qualifications
  • Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
