POSITION SUMMARY:
The Wellness Coordinator is a key member of the HUB International Employee Benefits team who manages the day-to-day operations of client wellbeing programs. This role serves as the central point of coordination-handling client communications, scheduling, vendor and carrier relationships, and event planning (like health fairs and workshops)-to ensure programs run smoothly and align with client goals. They also support higher-level strategy by participating in planning and client meetings, helping shape and support wellness initiatives over time.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Program Coordination & Implementation
  • Manage the day-to-day coordination of client wellbeing programs, including scheduling, communications, and logistical support
  • Plan and execute onsite and virtual wellness initiatives such as health fairs, biometric screenings, vaccine clinics, lunch & learns, and educational sessions
  • Coordinate with vendors, carriers, and internal teams to ensure program delivery is seamless and timely
  • Develop and distribute monthly wellbeing communications, resources, and promotional materials to clients
  • Track program activities, participation, and key milestones to support reporting and continuous improvement

Client Relationship Management
  • Serve as a primary point of contact for assigned clients, maintaining consistent and responsive communication throughout the year
  • Conduct regular client check-ins ranging from quarterly touchpoints to monthly or biweekly strategy meetings based on service level
  • Build and sustain trusted client relationships by ensuring program continuity, responsiveness, and alignment with stated objectives
  • Support client onboarding and annual renewals with organized planning documentation and transition materials

Strategy & Consulting Support
  • Participate in well-being meetings, contributing insights and recommendations to support multi-year client wellness goals.
  • Assist in the development and management of wellbeing program strategies
  • Provide vendor selection guidance and evaluation support for clients with vendor-administered programs
  • Support annual planning processes by compiling data and preparing materials

Administrative & Organizational Support
  • Maintain accurate records of client program activities, vendor agreements, and communication logs
  • Ensure all initiatives reflect HUB International values and quality standards
  • Collaborate with internal teams across the Health & Performance practice to share best practices and support cross-functional initiatives

Practice Promotion
  • Work with the National H&P Practice Leaders on best practice development and deployment
  • Collaborate with Health & Performance teams regionally and nationally to further the practice charter, develop shared content, and drive practice innovation; participate in monthly team calls, sub-committee work, and project support
  • Will shadow the H & P team and learn to Analyze aggregate carrier data, employee surveys, health risk assessments, and health screenings to assess the needs of the population and develop annual wellness goals.
  • Stay informed on trends, developments, and legislation in the wellness and care management field to make recommended changes and help ensure compliance for clients' programs
  • Document client and member testimonials and case studies
  • Utilize Monday.com database to track all client activity and provide monthly reporting to regional leadership
  • Perform other related duties as assigned by manager

QUALIFICATIONS:
Required
  • Demonstrated ability to manage multiple client relationships and competing priorities simultaneously
  • Strong organizational skills with meticulous attention to detail and follow-through
  • Strong written and verbal communication skills
  • Proficiency with Microsoft Office Suite and virtual meeting platforms
  • Ability to travel to client sites for onsite events, presentations, and meetings as needed

Preferred
  • 2+ years of experience in wellness program coordination, employee health initiatives, or benefits administration. Experience in the insurance brokerage, benefits consulting, or employee wellness industry
  • Familiarity with wellbeing platforms, biometric screening vendors, and health engagement tools
  • Experience developing and distributing wellness communications and educational content

  • Project Management: Capable of managing a book of business with varying service-level requirements while being well-organized delivering thoughtful, well-being experiences that align with client goals
  • Collaboration: Works effectively with vendors, carriers, internal teams, and clients to ensure seamless program delivery

PHYSICAL REQUIREMENTS / MISCELLANEOUS
  • This position will require getting to and from client locations; it is typically expected that one will maintain a valid driver's license and own a reliable vehicle
  • This position may require local travel, up to 15%
