Position summary:
The Receptionist position is responsible for performing clerical tasks to support daily operations. Duties include answering and transferring phone calls, sorting and delivering mail, greeting visitors, and providing administrative support to the practice. The Receptionist reports to and is employed by John L Thurlow II.
This position is part-time and the hours for this position are Monday - Thursday: 8:45 a.m. to 2 p.m. Compensation for this position is $18/hr.
After 90 days; 401K Retirement Plan (5%) match available.
This is an in-office position.

Job Description

Position Roles/Responsibilities/Accountabilities

  • Support the team with a variety of functions, projects and tasks
  • Interface with clients to coordinate meetings, mailings, and other communications
  • Greet clients and visitors when they arrive
  • Answer all incoming calls and disperse them and any messages appropriately
  • Maintain client correspondence including compliance and marketing mailings
  • Performs routine administrative duties such as maintaining office supplies, data entry of information, and processing mail
  • Drive client facing activity in the practice by scheduling meetings with clients on behalf of the practice's Financial Advisors
  • Maintain internal mailing lists, birthday card lists, and monthly calling lists
  • Provides back-up support on tasks that do not require any type of licensing or registration for other staff members, as needed
  • Maintain physical or electronic file
  • Completes other miscellaneous tasks as assigned

Position Qualifications

  • Previous experience working as a receptionist in a professional service firm desired
  • Strong technical computer aptitude and knowledge of business tools (e.g., Microsoft Word, Excel, PowerPoint) or ability to learn
  • Ability to handle multiple tasks and maintain a high quality of work while experiencing frequent interruptions
  • High school diploma or equivalent
  • Customer Service experience
  • Strong phone etiquette skills
