New Vision Family Health Team is a multidisciplinary team of healthcare professionals dedicated to providing high-quality, patient-centred primary care in a caring, coordinated, and responsive environment. Located in the Waterloo Region, we provide comprehensive primary care services to more than 30,000 patients. We offer a friendly, collaborative, and professional workplace in a spacious facility.


Position Summary

The Medical Receptionist is a key member of the healthcare team, responsible for providing efficient, accurate, and patient-centered administrative support in a clinical setting. This role includes greeting and checking in patients, scheduling appointments, managing phone inquiries, processing referrals, faxes, emails, and electronic medical record (EMR) messages, as well as billing, patient enrolment, and appointment coordination.  Working closely with physicians, clinical staff, and patients, the Medical Receptionist plays a vital role in creating a welcoming environment and supporting the smooth delivery of patient care.


Key Responsibilities


Patient Reception & Front Desk Support

  • Welcome and assist patients and visitors in a professional and courteous manner.
  • Check-in patients, verify personal and health information, and update records as needed.
  • Communicate appointment delays, schedule changes, and other clinic information to patients.

Appointment & Telephone Coordination

  • Answer incoming phone calls in a professional and courteous manner.
  • Schedule, cancel, and reschedule appointments using the EMR.
  • Provide patients with information regarding forms, referrals, test results, and instructions, where appropriate.
  • Contact patients as needed to confirm information or communicate instructions from care providers.

Administrative & EMR Support

  • Monitor and manage incoming EMR messages, emails, and electronic submissions.
  • Receive, review, and distribute faxes, ensuring documents are accurately uploaded into the EMR.
  • Process referrals, assist with patient enrolment, and support appointment coordination.
  • Maintain accurate and timely documentation within the EMR.
  • Escalate clinical questions or concerns to physicians, nurses, or other appropriate team members.


Qualifications

  • Graduate of a Medical Office Assistant program or equivalent.
  • Current Basic Life Support (BLS) / CPR, an asset.
  • Successful completion of a Criminal Record Check.
  • Completion of health screening requirements (MMR, Tdap, Varicella).
  • Minimum one year of experience in a primary care or clinical setting preferred.
  • Experience with Electronic Medical Record (EMR) systems, an asset.
  • Strong communication, excellent time management, organization, and problem solving.
  • Commitment to providing patient-centred care in a respectful and compassionate manner.


Compensation & Benefits

  • Hourly wage ($23.00 - $24.15), commensurate with experience.
