Position Overview
The Reception & Administrative Assistant supports the Preschool Principal and administration in carrying out the daily operational, organizational, and communication functions of Guardian Christian Academy. This role serves as a key support position to staff, families, and leadership while maintaining a Christ-centered attitude of service.
The role is expected to exemplify a personal relationship with Jesus Christ and demonstrate love, respect, and professionalism in all interactions with children, families, and staff. This position requires strong organizational skills, flexibility, confidentiality, and a heart for ministry within Christian education.

Qualifications & Skills
- Associate’s Degree or related experience preferred.
- Strong interpersonal and customer-service skills.
- Excellent written and verbal communication skills, using tact and diplomacy.
- Highly organized with strong time management and follow-through.
- Flexible team player with the ability to manage multiple responsibilities.
- Proficient in Microsoft Word, Excel, Publisher, and PowerPoint.
- Ability to navigate and utilize social media effectively for school communication and promotion.
- Ability to work independently while meeting deadlines and commitments.
Key Responsibilities
- Respond to emails and inquiries in a timely and professional manner.
- Prepare, copy, file, and distribute documents, forms, schedules, and communications.
- Make and answer phone calls, maintain records, and manage office correspondence.
- Schedule and maintain appointments on the Principal’s shared calendar.
- Maintain printer equipment and office systems.
- Submit receipts and maintain organized budget records.
- Serve as the first point of contact by warmly greeting students, parents, visitors, vendors, and prospective families in a Christ-centered, professional manner.
- Answer and direct incoming telephone calls while providing accurate information and exceptional customer service.
- Monitor the front office and reception area to ensure a welcoming, organized, and secure environment.
- Check visitors in and out according to school safety and security procedures.
- Receive, sort, and distribute incoming mail, packages, and deliveries.
- Assist parents with student arrivals, early dismissals, attendance questions, and student check-in/check-out procedures.
