RESPONSIBILITIES

  • Greeting guests, answering multi-line phone calls, and routing inquiries
  • Booking estimates, drop-off times, and post-repair inspections on the shop calendar.
  • Acting as a central communication link between clients, estimators, insurance companies, and repair technicians regarding job progress
  • Logging new repair orders, customer information, vehicle details, and warranties into the shop management software.
  • Create Purchase Orders
  • Reconciling incoming vendor invoices against active purchase orders and delivery receipts to ensure accurate pricing and parts counts.
  • Assisting with compiling final repair orders (ROs) and closing out tickets once jobs are completed
  • Accept customer payments and other cashiering functions.
  • Receives incoming mail
  • Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
  • Ensuring paper and digital files are compliant, legible, and routed to the correct department (accounting or management)
  • May also assist with other related clerical duties such as photocopying, faxing, filing and collating.

 

QUALIFICATIONS

  • Ability to read and interpret documents.
  • Previous Reception experience preferred not required
  • Previous customer service experience
  • Able to work Monday- Friday and every other Saturday
  • Friendly and energetic
  • Team orientated
  • Ability to communicate and relay information effectively to customers, employees, and management.
  • Proficient in Microsoft 
  • Previous experience with CDK preferred not required
  • Excellent organizational skills 
  • Professional personal appearance
