Weekend Project Coordinator information

What is a weekend project coordinator?

Weekend Project Coordinators are professionals responsible for overseeing and managing projects that occur during weekends. They ensure that all aspects of a project, such as scheduling, resource allocation, and communication, run smoothly outside of regular weekday hours. Their duties often include coordinating with team members, monitoring progress, addressing any issues that arise, and ensuring project milestones are met on time. This role is critical in industries where operations or events take place over the weekend, such as construction, events, or facility maintenance.

How does a weekend project coordinator typically manage communication and collaboration with teams that may have limited availability during weekends?

As a Weekend Project Coordinator, you'll often encounter the challenge of collaborating with team members who may not be working standard hours. Effective communication is key—this usually involves setting clear expectations ahead of the weekend, leveraging project management tools to track progress, and scheduling brief check-ins or status updates at mutually convenient times. Coordinators often rely on asynchronous communication methods, such as emails or shared dashboards, to ensure everyone stays informed. Building strong relationships during the week can also help secure support and prompt responses when needed over the weekend.

What are the key skills and qualifications needed to thrive as a weekend project coordinator, and why are they important?

To thrive as a Weekend Project Coordinator, you need strong organizational skills, project management knowledge, and often a relevant degree or equivalent experience. Familiarity with project management software like Trello, Microsoft Project, or Asana, as well as basic office tools, is typically required. Excellent communication, time management, and problem-solving abilities help you coordinate teams and deliver results under tight deadlines. These skills ensure projects stay on track and stakeholders remain informed, even during non-standard work hours.

Job description

Why DataMap

DataMap implements financial and operations software, Coupa, Microsoft Dynamics 365, SAP, Oracle, NetSuite, for some of the largest companies in the world, including Google. We are a small team doing enterprise-scale work: projects run on real deadlines with real budgets, and a coordinator who keeps them on the rails is noticed.

We are an AI-first company. Everyone here works with AI in the loop, project coordinators included.

How we hire

Apply, and you'll get a nine-minute problem-solving assessment. That's the entire first round. Score well and you get an interview, every time. No resume black hole, no weeks of silence.

The role

The Project Coordinator keeps enterprise software implementations on plan: scope, schedule, budget, status, and the coordination between consultants, developers, and clients. It's built for someone who wants to become a project manager and would rather learn on real ERP and Coupa programs than in a classroom.

You'll get hands-on with the tools our teams use (Jira, Smartsheet, Microsoft 365) and mentorship toward a project manager role. The ideal candidate has some project coordination behind them, is organized to a fault, communicates clearly, and solves problems before they become escalations.

What you'll do
  • Help plan, run, and close projects on deadline and on budget, including lining up resources and coordinating team members and third-party consultants
  • Define project objectives and keep an eye on quality across the life cycle
  • Build project plans and the communications that go with them
  • Set expectations with team members and stakeholders early and clearly, and keep managing them
  • Estimate the resources and people a project needs
  • Draft budget proposals and recommend changes when the numbers move
  • Delegate tasks and follow up
  • Spot and resolve issues and conflicts inside the project team
  • Plan timelines and milestones and keep them current
  • Produce status reports, proposals, requirements documentation, and presentations
  • Manage scope changes, see problems coming, and have a contingency plan ready
  • Coach and motivate team members and contractors toward ownership of their work
What we're looking for Minimum
  • The desire to master project management as a craft
  • Associate's degree in a related field, or equivalent experience
Preferred
  • Previous experience in a project coordination role
  • Project management certification (PMP, CAPM, Google Project Management Certificate)
  • Project management experience on ERP or similar cloud software implementations
  • Strong Microsoft Office and Google Workspace skills; Jira and Smartsheet a plus
  • Clear communication, leadership, and problem-solving
  • Familiarity with business process analysis, user acceptance testing, and running an effective meeting
Where it leads

We promote from within. Project Coordinators here typically move toward Project Manager, then Program Manager across several client engagements.

Benefits
  • Competitive base salary and performance-based bonuses
  • Unlimited vacation and a flexible work environment
  • Free catered lunch at HQ
  • 401(k) with employer match
  • Health insurance with a generous employer contribution
  • Hands-on mentorship and paid certifications
Apply

If you don't meet every requirement, apply anyway. We'd rather hear from people who are eager to learn.
