Procurement Coordinator
Kalahari Resorts & Conventions is seeking a
Procurement Coordinator. In this role, you will be responsible for supporting procurement operations, inventory management, system administration, and vendor onboarding activities. You'll play a critical role in the successful implementation and ongoing maintenance of BirchStreet and IMS platforms, ensuring accurate setup of products, vendors, inventory locations, and purchasing data across the organization.

You'll support both the guest and associate experience by ensuring critical supplies, equipment, and products are available when needed to keep resort operations running smoothly. Through organization, accuracy, and collaboration, you'll help empower associates to provide outstanding service and memorable experiences for every guest.
Pay Rate - $18 - $22/Hr.
Key Responsibilities
- Maintain accurate inventory, vendor, and product information across all systems.
- Populate and manage inventory locations and storage areas.
- Assist with inventory counts, cycle counts, audits, and discrepancy investigations.
- Support inventory reporting, usage analysis, and process improvements.
- Coordinate with operational departments to minimize shortages, overstock situations, and obsolete inventory.
- Organize, track, and schedule inbound shipments.
- Maintain accurate purchasing, receiving, and shipment records.
- Assist with receiving-related documentation and invoice reconciliation.
- Ensure alignment between purchasing, receiving, and inventory systems.
- Administer and maintain BirchStreet procurement software.
- Link products to approved vendors and maintain item master data.
- Create, update, and maintain order sheets for departments and outlets.
- Monitor open purchase orders and run purchasing and usage reports.
- Submit vendor documentation and support supplier onboarding processes.
- Coordinate purchasing activities with department managers and end users.
What We're Looking For
- High School Diploma or GED required.
- 2-5 years of purchasing, inventory control, procurement, and warehouse experience. Purchasing/inventory experience in food and beverage environment is strongly preferred.
- Strong organizational skills with the ability to manage multiple priorities.
- Exceptional attention to detail and data accuracy.
- Proficiency in Microsoft Excel and related business applications.
- Strong written and verbal communication skills.
- Ability to train and support end users.
- Basic understanding of purchasing, inventory management, and supply chain processes.
- Ability to work independently and collaboratively.
- 1-2 years of hospitality, resort, hotel, restaurant, or distribution experience strongly preferred.
- Experience with BirchStreet or similar procurement software is helpful.
- Experience supporting system implementations.
Preferred Requirements
- Experience with pre-opening in a hospitality or resort environment.
- Associate's or Bachelor's degree in Business, Supply Chain, Hospitality, or related field preferred.
Physical Requirements
- Ability to sit, stand, walk, and move throughout the property for extended periods.
- Ability to work in warehouse, receiving, and office environments.
- Ability to communicate effectively with associates, vendors, and management.
- Ability to lift and move materials as needed within established safety guidelines.
- Must be flexible to work weekends, holidays, and varied schedules when business needs require.
