Job Title: Business Operations Manager

Job Description:

Our client builds AI infrastructure for the physical world, deploying interactive AI agents and hardware into high-foot-traffic venues such as hotels, retail flagships, convention centers, and stadiums. As the company scales deployments nationally, it's looking for a hands-on operator to own the operational backbone that turns signed contracts into deployed, billed, and supported installations. This foundational hire will report directly to the founding team, build the processes and systems the company runs on, and have the opportunity to grow into a team lead as operations scale โ€” with a path to a Head of Operations track.

Responsibilities:

  • Review, redline, and track customer contracts (SaaS + hardware rental agreements), partner MSAs, and vendor agreements, flagging risk and routing to legal/founders as needed
  • Manage the full contract-to-cash workflow โ€” invoicing, payment tracking, collections, and reconciliation against contract terms and rental periods
  • Own multi-state sales tax compliance for hardware rentals and installations, including registration, nexus tracking, collection, and filing
  • Coordinate end-to-end hardware logistics after contract signature: provisioning, shipping, installation scheduling, and returns/deinstallation
  • Manage warehouse operations, including inventory tracking, asset tagging, and condition tracking across the rental fleet
  • Own carrier relationships, freight, and delivery timelines, resolving shipping issues and damaged-unit claims
  • Manage day-to-day office operations, vendors, and onboarding logistics as the operational go-to for the team

Requirements:

  • 3+ years in operations, business operations, or logistics โ€” ideally at a startup, hardware company, or other fast-paced, resource-constrained environment
  • Comfortable reading and reasoning about contracts; detail-oriented with terms, dates, and numbers
  • Hands-on experience with invoicing and basic finance/accounting workflows; familiarity with sales tax compliance a strong plus
  • Experience coordinating physical logistics, shipping, or inventory/warehouse operations
  • Highly organized, self-directed, and able to build process from scratch
  • Strong communicator able to work across sales, finance, founders, and external partners
